Job summary

PlaceTalent is seeking an experienced Executive Assistant to support the Managing Director in Gauteng. You will manage the MD’s complex diary, coordinate domestic and international travel, and act as the professional first point of contact for the MD.

You will liaise with senior executives, board members and clients, preparing agendas and minutes, and supporting strategic projects. A strong MS Office skillset and high discretion are essential.

Qualifications

  • 5+ years supporting a C-suite or MD-level executive.
  • Experience managing executive diaries, travel and board admin.
  • Experience with internal communications or events is advantageous.
  • Tertiary qualification in Business Administration or related field is advantageous.
  • Advanced MS Office skills (Outlook, Word, Excel, PowerPoint).

Responsibilities

  • Proactively manage the Managing Director's complex diary, meetings and priorities.
  • Coordinate domestic and international travel including flights, accommodation, visas and itineraries.
  • Manage and prioritise correspondence as first contact for the MD.
  • Liaise with senior executives, board members, clients and external stakeholders.
  • Prepare agendas, presentations and briefing documents for meetings.
  • Take accurate minutes and track follow-up actions to completion.
  • Handle confidential information with discretion.
  • Support on strategic projects, research and reporting.
  • Coordinate internal company communications to align with priorities.
  • Take ownership of company functions and events, including planning and budgeting.
  • Liaise with internal departments to ensure alignment on priorities and deadlines.
  • Assist with expense claims, invoices and budget tracking.

Key Responsibilities
  • Proactively manage the Managing Director's complex diary, meetings and competing priorities.
  • Coordinate domestic and international travel, including flights, accommodation, visas and detailed itineraries.
  • Manage and prioritise correspondence and act as a professional first point of contact for the MD.
  • Liaise confidently with senior executives, board members, clients and external stakeholders.
  • Prepare agendas, presentations, briefing documents and supporting documentation for executive and board meetings.
  • Take accurate minutes and ensure follow-up actions are tracked through to completion.
  • Handle highly confidential business and personal information with absolute discretion.
  • Provide support on strategic projects, research, reporting and ad hoc business initiatives.
  • Coordinate internal company communications and ensure messaging is clear, professional and aligned with business priorities.
  • Take ownership of company functions and events, including planning, budgeting and execution.
  • Liaise with internal departments to ensure alignment on priorities and deadlines.
  • Assist with expense claims, invoices and budget tracking relating to the MD's office.
Requirements
  • Minimum 5 years' experience as an Executive Assistant, Business Manager or Personal Assistant supporting a C-suite or MD-level executive.
  • Proven experience managing complex executive diaries, travel arrangements and board-level administration.
  • Experience with internal communications and/or company events will be advantageous.
  • Relevant tertiary qualification in Business Administration, Office Management or a related field is advantageous.
  • Advanced proficiency in MS Office, including Outlook, Word, Excel and PowerPoint.
  • Strong written and verbal communication skills.
  • Exceptional organisational and time-management abilities.
  • High level of discretion, professionalism and emotional intelligence.
  • Strong stakeholder management skills across all levels of seniority.
  • Ability to work independently, take initiative and anticipate the needs of a senior executive.
  • Valid driver's licence and own reliable transport.
