Appointment Setter

Position: Appointment Setter / Lead Qualifier

Employment Type: Full-Time, Remote

Working Hours: Monday - Friday (Flexible schedule; must cover prime hours 4:00 PM - 7:00 PM EST)

Target Sourcing Location: Primary focus in South Africa (Open to candidates in the Philippines or Latin America)

Salary Range: $800 - $1,200 USD per month (based on experience)

Hiring Timeline: Candidates presented within 1-2 weeks; position filled within 2-4 weeks

About The Role

We are looking for a proactive, highly coachable, and communicative Appointment Setter to manage incoming leads and re-engage our database of prospective members. In this role, you will act as the first point of contact for individuals interested in joining our high‑energy group fitness studio.

We receive 150 to 300 new leads per month and maintain a large existing database. Your goal is to reach out to these leads rapidly via phone, text, and email to answer questions, build rapport, and book them into trial classes and studio visits.

Key Responsibilities

New Lead Outreach

• Contact 150-300 new leads each month quickly after they come in, by phone, text, and email.
• Introduce the studio, answer questions, and explain how trial classes work.
• Handle common questions and hesitations with confidence and quick thinking.
• Book interested prospects into trial classes and studio appointments.

Database Re-Engagement

• Work through the studio's large existing database of past leads and contacts.
• Re-engage cold leads, past trial guests, and former members with fresh offers and follow‑up.
• Turn inactive contacts into new bookings.

Appointment Booking & Confirmations

• Book appointments and trial classes in MindBody following the studio's SOPs.
• Send appointment confirmations and reminders to reduce no‑shows.
• Follow up with no‑shows and reschedule them.
• Keep the class schedule accurate and up to date.

CRM & Follow‑Up

• Log every call, text, and outcome in GoHighLevel.
• Move leads through pipeline stages and keep contact records accurate.
• Follow a consistent follow‑up cadence so no lead falls through the cracks.
• Track booking results and share feedback with the studio team.

Coaching & Improvement

• Follow call scripts and studio processes.
• Take feedback from studio leadership and apply it quickly.
• Look for ways to improve booking rates and show‑up rates.

Qualifications & Skills Required

• Experience: 2-5 years in inside sales, appointment setting, customer support, or phone‑based customer acquisition.
• Knowledge: Stong familiarily with gym culture, fitness termonology, group training
• Language & Communication: Exceptional spoken English with a natural, easy‑to‑understand accent (e.g., South African / British style accent preferred).
• Core Traits: Coachable, quick thinker, high emotional intelligence, and ability to stay composed and confident on the phone.
• Tech Stack Familiarity: Experience or ability to quickly adapt to GoHighLevel (CRM) (preffered- can be learnt)
• Remote Setup: High‑speed, reliable internet connection with a quiet, dedicated home workspace and quality headset.

Schedule & Availability

• Type: Full-Time (40 hours per week)
• Days: Monday - Friday
• Hours: Flexible daily hours with mandatory coverage during peak call times (4:00 PM - 7:00 PM EST).

Compensation & Perks
