Job summary

Motus Toyota Strydom Park currently seeks an Administrator: Service Advisor (Non-Technical) reporting to the Service Manager. The role focuses on maintaining high service levels and delivering excellent customer service.

The successful candidate will coordinate workflow within the service department, update bookings, manage communication with staff and customers, and ensure vehicle and key security. Duties include assisting technicians with quotes, test drives, and reporting daily progress.

Qualifications

• Grade 12 is required.
• 3 years’ Service Advisor experience is essential.
• Toyota Service Advisor certificate is essential.
• Computer literacy is essential.
• Clear Criminal Record is required.
• Motor industry experience will be an advantage.
• Excellent verbal communication skills are essential.

Responsibilities

• Coordinate the workflow in the service department between service advisors, foreman and customers.
• Update service bookings for customers.
• Communicate with all Service Staff.
• Ensure security of vehicles and keys (keysafe).
• Ensure vehicles are parked outside and keys locked in keysafe each morning.
• Ensure job cards are signed off by Technicians.
• Assist Technicians with quotes in a timely manner.
• Support the Controller, Foreman, Service Manager and Service Receptionist.
• Follow up on parts ordered to workshop.
• Book in vehicles and arrange test drives with Foreman or Quality Controller.
• Ensure all vehicles are tested where required.
• Record and report comebacks.
• Monitor work in progress and cash outstanding daily for Service Manager.
• Order parts according to parts system.
• Keep area clean and safe; promote safety standards.
• Sell accessories and additional work.
• Prepare quotations for authorization.
• Follow up on unfinished sales.

Motus Toyota Strydom Park currently holds a vacancy for an Administrator: Service Advisor (Non- Technical) reporting to the Service Manager.

This position will be suited to a person who has the ability to maintain high levels of service on an on-going basis, ability to provide excellent customer service.

• To coordinate the workflow in the service department, between service advisors, foreman and customers.
• Update service customer on all service bookings
• Communicate with all Service Staff
• Ensure the security of vehicles, i.e. vehicles locked in workshops and keys locked in keysafe
• Ensure first thing in the morning that vehicles are parked outside and that the keys are locked in keysafe
• Ensure job cards are signed off by Technicians
• Assist and advise Technicians on quotes in a timeous manner
• Give assistance to the Controller, Foreman, Service Manager, Service Receptionist
• Follow up on parts ordered to workshop
• Book in vehicles
• Ensure that all vehicles with specific complaints are test driven with either a Foreman or a Quality Controller before the client leaves the dealership
• Ensure that all vehicles are test driven
• Record and report comebacks
• Ensure work in progress and cash outstanding is done on a daily bases and submitted to the Service Manager.
• Ensure parts are ordered according to the parts ordering system
• Ensure that your area is kept clean at all times
• Ensure the promotion and adherence to safety standards

• Follow-up on sales not made

KNOWLEDGE, SKILLS AND QUALIFICATIONS:

• A minimum of Grade 12.
• A minimum of 3 years’ Service Advisor experience is essential.
• A Toyota Service Advisor certificate is essential
• Computer literacy is essential
• Clear Criminal Record
• Motor industry experience will be an advantage
