Overview
This position supports the management team, operations and maintenance functions within Emergency Management. The role is key to maintaining Maintenance records for statutory service work.
Responsibilities
- Maintain the approved and effective work practices required within this role so that the maximum benefit is derived from the available resources.
- Support the Senior Manager, Area Manager Operations and Maintenance Manager with daily management activities, including meeting minutes, diary management, answering telephone calls and other administration functions.
- Support the management, operations and maintenance teams with team functions, planning and venue management.
- Manage stores, maintain stationery and do necessary orders and purchases on behalf of teams. Track and log KPI deliverables.
- Participate in strategy sessions, management interventions and EM team events. Engage respectfully with partners and assist with governance processes in EM.
- Effectively manage, record and track agendas, minutes and next steps of meetings.
- Ensure effective execution and follow-up of purchase order requests and deliveries to assist Security, including: stock control orders for the operational and consumable storeroom; PPE management; consolidate PPE requests and create PRs; process internal purchase requests; maintain daily purchase order records; coordinate and complete spreadsheets as requested.
- Prepare, draft, maintain and capture reports, documents and written records; book and prepare meeting rooms; disseminate information to team members; maintain filing, database systems and inventories.
- Manage and coordinate safety administration responsibilities including booking, recording and maintaining records of safety meetings. Support EM compliance with second- and third-party audit requirements and distribute audit preparation and compliance information.
