Job summary

The Cleveland Orchestra is seeking a Youth Orchestra Coordinator to support COYO operations, rehearsals, and performances. You will coordinate program activities, manage communications, and assist with day-to-day administration under the Youth Orchestra Director.

The role covers auditions, concerts, masterclasses, tours, and events, with a focus on logistics, scheduling, and participant support for students, families, coaches, and guest artists.

Qualifications

  • Bachelor’s degree in music, music education, arts administration, or related field.
  • 2+ years in music education, youth ensemble administration, or related area.
  • Experience coordinating rehearsals, performances, or events.
  • Experience working with students, families, musicians, and educators.
  • Strong organizational and interpersonal skills and ability to manage multiple priorities.
  • Proficiency with ArtsVision, Tessitura, and related planning tools.
  • Valid driver’s license and ability to travel regionally.

Responsibilities

  • Support COYO rehearsals, concerts, auditions, retreats, tours, and events.
  • Coordinate logistics, schedules, communications, and on-site support for participants.
  • Provide rehearsal and performance support including stage readiness and musician coordination.
  • Assist Youth Orchestra Director with day-to-day program administration.
  • Coordinate chamber music activities, masterclasses, residencies, guest artist activities.
  • Coordinate performance opportunities with institutional and community initiatives.
  • Maintain communications for students, families, coaches, and internal stakeholders.
  • Support program administration using ArtsVision, Tessitura, and related systems.

Job description

The Cleveland Orchestra is seeking a Youth Orchestra Coordinator who will support the operation and administration of the Cleveland Orchestra Youth Orchestra (COYO) by coordinating program activities and supporting rehearsals and performances. Working closely with the Youth Orchestra Director, this role helps ensure that COYO programs are organized, well-supported, and aligned with the artistic and educational standards of The Cleveland Orchestra.

The Coordinator provides operational and logistical support for auditions, concerts, chamber music activities, masterclasses, tours, and special events. The role coordinates scheduling, communications, and event support for students, families, coaches, guest artists, and internal stakeholders while also overseeing music distribution to support rehearsals and performances.

In this role, you'll have the opportunity to do the following:

Program Coordination & Event Support
  • Support the planning and execution of COYO rehearsals, concerts, auditions, retreats, tours, and special events.
  • Coordinate logistics, schedules, communications, and on-site support for students, families, coaches, guest artists, and program participants.
  • Provide rehearsal and performance support, including stage readiness, musician coordination, and event operations.
  • Assist the Youth Orchestra Director with day-to-day program administration and operational needs.
Chamber Music & Educational Programming
  • Coordinate COYO chamber music activities, including rehearsals, coachings, performances, and scheduling.
  • Support educational initiatives including masterclasses, composer residencies, guest artist activities, and seminars.
  • Coordinate performance opportunities connected to institutional, educational, and community-based initiatives.
  • Support communication and logistical coordination for participating musicians, coaches, and guest artists.
Cross-Department Coordination & Communications
  • Coordinate with internal departments to support COYO activities and communications.
  • Support program visibility through coordination of social media content, marketing materials, and alumni engagement activities.
  • Maintain accurate and timely communication with students, families, coaches, and internal stakeholders.
  • Support data entry, scheduling, and program tracking within ArtsVision, Tessitura, and related systems.
Administrative & Operational Support
  • Maintain program records, schedules, library inventory, and operational documentation.
  • Coordinate administrative details related to auditions, performances, events, and program activities.
  • Support compliance with organizational policies and procedures related to student programs and event operations.
  • Provide operational support for additional Education & Community Engagement programs and events as assigned.

The successful candidate will meet the following qualifications:

  • Bachelor’s degree in music, music education, arts administration, or a related field required.
  • 2+ years of relevant experience in music education, youth ensemble administration, or a related area.
  • Experience coordinating rehearsals, performances, educational activities, or event logistics.
  • Experience working with students, families, musicians, and educators in an educational or performance setting.
  • Strong organizational and administrative skills with the ability to manage multiple priorities and timelines.
  • Strong interpersonal and communication skills.
  • Ability to exercise sound judgment in dynamic rehearsal, performance, and educational environments.
  • Proficiency in Microsoft Office and ability to work with systems such as ArtsVision, Tessitura, and other planning or database tools.
  • Valid driver’s license and access to a reliable vehicle for regional travel.
  • Ability to work a flexible schedule, including evenings and weekends.
