Job description

The Workup (WU) Coordinator is an essential member of the Workup Team, guiding unrelated donors through the final stage of the donor-patient matching process. This role is responsible for facilitating requests from both the donor registry and transplant centers, managing every aspect of the donation process from initial contact to collection

Key Responsibilities:
Donor Outreach & Engagement
  • Contact matched donors to assess their interest and availability for donation
  • Provide clear education on marrow and peripheral blood stem cell donation procedures to ensure informed consent
Donor Evaluation & Process Coordination
  • Assess donor eligibility using both medical and non-medical criteria in alignment with organizational guidelines and National Marrow Donor Program (NMDP) standards
  • Coordinate all necessary physical exams, laboratory testing, and medical appointments
  • Manage the logistics of marrow and stem cell collection, ensuring a seamless process for donors and medical partners
Regulatory Compliance
  • Adhere to all regulatory requirements, including principles of informed consent, human subject protection, and bone marrow donor registry standards
  • Ensure compliance with FDA regulations, NY State Department of Health requirements, and other applicable standards (Good Tissue Practices, Good Manufacturing Practices, and NYS DOH tissue procurement)
Special Projects & Continuous Improvement
  • Participate in quality assurance initiatives, research projects, and process improvement efforts as assigned
Qualifications:
Education & Experience
  • Minimum of two years' experience in a healthcare setting, or equivalent combination of education and experience
  • Familiarity with medical terminology, documentation, and medical history intake preferred
Skills & Abilities
  • Exceptional communication, active listening, and empathy when working with donors making life-changing decisions
  • Highly organized with strong attention to detail in documentation, forms, and case notes
  • Ability to work on-call as needed
  • Excellent interpersonal skills and team collaboration abilities
  • Proactive, goal-oriented mindset with flexibility and adaptability
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
Technical Proficiency
  • Proficient in Windows/Mac OS, Microsoft Word, Outlook, Excel, and internet research
  • Experience with NMDP StarLink systems a plus
