  • Assist with data entry and website updates.
  • Attend, move meetings, and coordinate all moves with client contacts with high level organization; take notes and share updates.

  • Provides operational support for delivery of Workplace Programs; services include fairs, vendor support, and event support.
  • Utilizes and maintains integrity of databases and other digital tools for service delivery.
  • Ensures client and company materials comply with brand guidelines.
  • Work in a fast-paced environment and in ambiguity; be adaptable and flexible.
  • Update process documentation.
  • Provide support for onsite events and services (gift fairs).
  • Performs other duties as assigned

Job Summary

The Workplace Program Coordinator provides workplace services and operational support to increase personal productivity and effectiveness. Our goal is to make it easier for employees to take care of themselves beyond their day-to-day work responsibilities by giving them access to amenities and perks. This position is responsible for supporting and coordinating activities related to delivery of workplace programs for our clients, specifically the company store through high-touch services and world-class customer service. The Coordinator will assist with day to day operations, customer service via email, website updates, data entry and meeting and event day of support.


Essential Duties & Responsibilities


  • Responds to customer requests and complaints regarding in a friendly, professional manner.

  • Assist with data entry and website updates.

  • Attend, move meetings, and coordinate all moves with client contacts with high level organization skills; ability to take impactful notes and proactively share updates.

  • Maintains relationships with vendors that provide services and goods.

  • Provides operational support for delivery of Workplace Programs. Services include, but are not limited to speciality fairs, vendor support, meeting and event support and community building.

  • Utilizes and maintains integrity of databases and other digital tools associated with service delivery, as requested.

  • Ensures client and company materials comply with client and company brand guidelines.

  • Ability to work in a fast-paced environment and in ambiguity; highly adaptable and flexible.

  • Update process documentation.

  • Provide support for delivery of onsite events and services (i.e. gift fairs).

  • Performs other duties as assigned

  • Education and Experience: HS Diploma or GED required. A minimum of 1 - 2 years related experience (e.g. Front Desk, Concierge, Hospitality, Room Management, or Customer Service roles) is preferred.

  • Communication Skills: Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees. Comfortable meeting and engaging with new people. Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help.

  • Financial Knowledge: Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

  • Reasoning Ability: Understand and carry out general instructions in standard situations. Solve problems in standard situations, which requires basic analytical skills with strong reasoning and critical thinking.

  • Scope of Responsibility: Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact.


Not required but preferred


  • Customer service experience

  • Proficient with Google sheets, Google Workspace (Gmail, Calendar, Slides, Docs Sheet) and Excel

  • Best candidates will have a genuine interest in anticipating and serving the needs of others. A warm demeanor and desire to collaborate with others is key
