Job summary

CBRE is seeking a Workplace Program Coordinator to provide workplace services and operational support to increase productivity and access to amenities. The role supports delivery of workplace programs for clients, including the company store, through high-touch service and proactive coordination.

The coordinator assists with day-to-day operations, customer service via email, website updates, data entry and event-day support, while maintaining data integrity and brand compliance.

Qualifications

  • HS Diploma or GED required.
  • 1-2 years related experience (e.g. Front Desk, Concierge, Hospitality, Room Management, or Customer Service roles) preferred.
  • Strong written and verbal communication; ability to write routine reports and handle inquiries.
  • Basic financial knowledge; ability to calculate simple figures.
  • Ability to work in a fast-paced environment and in ambiguity; adaptable and flexible.
  • Ability to ensure materials comply with brand guidelines.

Responsibilities

  • Responds to customer requests and complaints in a friendly, professional manner.
  • Assist with data entry and website updates.
  • Attend, move meetings, and coordinate all moves with client contacts with high level organization; take impactful notes and share updates.
  • Maintain relationships with vendors that provide services and goods.
  • Provide operational support for delivery of Workplace Programs (speciality fairs, vendor support, meeting and event support, community building).
  • Utilize and maintain databases and other digital tools related to service delivery.
  • Ensure client and company materials comply with brand guidelines.
  • Work in a fast-paced environment and in ambiguity; be adaptable.
  • Update process documentation.
  • Provide support for onsite events and services (gift fairs).
  • Perform other duties as assigned.

Job Summary

The Workplace Program Coordinator provides workplace services and operational support to increase personal productivity and effectiveness. Our goal is to make it easier for employees to take care of themselves beyond their day-to-day work responsibilities by giving them access to amenities and perks.

This position is responsible for supporting and coordinating activities related to delivery of workplace programs for our clients, specifically the company store through high-touch services and world-class customer service. The Coordinator will assist with day to day operations, customer service via email, website updates, data entry and meeting and event day of support.

Essential Duties & Responsibilities:
  • Responds to customer requests and complaints regarding in a friendly, professional manner.

  • Assist with data entry and website updates.

  • Attend, move meetings, and coordinate all moves with client contacts with high level organization skills; ability to take impactful notes and proactively share updates.

  • Maintains relationships with vendors that provide services and goods.

  • Provides operational support for delivery of Workplace Programs. Services include, but are not limited to speciality fairs, vendor support, meeting and event support and community building.

  • Utilizes and maintains integrity of databases and other digital tools associated with service delivery, as requested.

  • Ensures client and company materials comply with client and company brand guidelines.

  • Ability to work in a fast-paced environment and in ambiguity; highly adaptable and flexible.

  • Update process documentation.

  • Provide support for delivery of onsite events and services (i.e. gift fairs).

  • Performs other duties as assigned

  • Education and Experience: HS Diploma or GED required. A minimum of 1 - 2 years related experience (e.g. Front Desk, Concierge, Hospitality, Room Management, or Customer Service roles) is preferred.

  • Communication Skills: Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees. Comfortable meeting and engaging with new people. Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help.

  • Financial Knowledge: Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

  • Reasoning Ability: Understand and carry out general instructions in standard situations. Solve problems in standard situations, which requires basic analytical skills with strong reasoning and critical thinking.

  • Scope of Responsibility: Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact.

Not required but preferred:
  • Customer service experience

  • Proficient with Google sheets, Google Workspace (Gmail, Calendar, Slides, Docs Sheet) and Excel

  • Best candidates will have a genuine interest in anticipating and serving the needs of others. A warm demeanor and desire to collaborate with others is key

CBRE carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The minimum salary for the Workplace Program Coordinator position is $56,160 annually [or $27.00 per hour] and the maximum salary for the Workplace Program Coordinator position is $72,384 annually [or $34.80 per hour]. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience.
