Responsibilities

The Workplace Team manages all daily office administration including facilities maintenance, space management, food & beverage programs, shipping logistics, and company sponsored event programming. Our mission is to deliver a best-in-class workplace experience that promotes belonging & inclusivity while optimizing workplace efficiency & productivity, enabling the organization to achieve its business goals. The USDS Workplace Services team is looking for a Workplace Manager to join our team! This role will report directly to the Regional Workplace Manager, and this person will lead local onsite office experience programs. This role will partner closely with Real Estate, Human Resources, EHS, Procurement, Finance, Security, IT and other key business leaders to provide workplace services and programs that exemplify our culture and values. Workplace Experience Management

• Create and maintain the overall workplace experience strategy and operating model, establishing the necessary processes and procedures to ensure effective and engaging day-to-day experiences for the largest office in our portfolio.
• Deliver a best-in-class employee and guest experience that is unique and brings the TikTok brand to life.
• Handle all guest and employee interactions with the highest level of professionalism and hospitality to ensure we are always exceeding expectations.
• Own the relationship with IT and HR to deliver the best onboarding experience for TikTok employees
• Oversee concierge services, conference room bookings, client office visits as well as client catering/event experience.
• Partner with Physical Security to ensure guests are properly approved by the security team in a timely manner consistent with visitor policy.
• Help identify processes and procedures that best serve the needs of the business and TikTok employees, while contributing to a fun and productive environment for the local team.
• Manage our presence on the Lark communication platform to ensure employees feel connected to an attainable resource.
• Partner and develop strong relationships with all key business partners, including local business leaders, IT, HRBPs, Finance, and Procurement.
• Execute the local food & beverage program. Partner with EHS for food safety issues, resolution, and documentation.
• Manage and report on janitorial services, pest control, plants, shredding team output via IFM vendor.
• Collect input from business units to own, plan, and organize space moves and neighborhood mapping to propose space solutions.
• Collaborate with outsourced shipping & receiving operations contractors and execute local mail operations, and provide coverage and support as needed.

Facilities Partnership

• Assist, when needed, daily walkthroughs to identify necessary improvements, repairs and enhancements, and work with integrated facility management (IFM) team to fulfill requests.
• Collaborate with San Jose Workplace management team to ensure preventative maintenance log for all Facilities related matters is executed.

Culture & Engagement

• Manage social events and employee announcements in a manner that is consistent with TikTok values.
• Partner with HR leadership PMO team on new hire swag budget allocation approval, order par levels for the offices and vendor for distribution
• Assist in office communications, as needed, in a manner that is consistent with TikTok standards.
• Partner with the Internal Comms teams to oversee logistics, planning and all facility related items for internal events that promote employee engagement, and create a sense of community.

Qualifications

Minimum Qualifications:

• Bachelor's Degree and 5+ years previous experience in Facilities Management / Workplace Experience or in a related field
• Excellent organizational skills, attention to detail and interpersonal skills, and the ability to work with internal and external stakeholders
• Great communicator and always thinking about the employee’s workplace needs with extreme attention to detail, and desire to ensure office safety and morale
• Ability to work quickly and efficiently against strict deadlines while displaying a demonstrated ability to work collaboratively across departments and levels within a complex organization
• Genuinely care about a great workplace experience and environment for all staff and guests

【For Pay Transparency】Compensation Description (Annually)

• The base salary range for this position in the selected city is $84000 - $142223 annually.
• Compensation may vary outside of this range depending on a number of factors, including a candidate’s qualifications, skills, competencies and experience, and location. Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives, and restricted stock units.
• Benefits may vary depending on the nature of employment and the country work location.

• Employees have day one access to medical, dental, and vision insurance, a 401(k) savings plan with company match, paid parental leave, short-term and long-term disability coverage, life insurance, wellbeing benefits, among others.
