Job summary

Spectrum is seeking a Workplace & Facilities Administrator to help manage our integrated facilities, property services, and workplace experiences. The role supports building systems, ensures operational reliability, and fosters an environment where teams can thrive while aligning with Spectrum’s standards.

The position involves managing space, coordinating with vendors, and delivering dashboards and reports.

Qualifications

  • Bachelor’s degree in Business Administration or related field or combination of education and experience.
  • 2+ years of experience within facilities or property management.
  • Experience translating business requirements into space requirements for business units.
  • Experience implementing workplace strategies.
  • Proven ability to translate data into presentations and dashboards.
  • Strong customer service and stakeholder interface skills.
  • Ability to work across cross-functional teams and manage multiple projects.

Responsibilities

  • Assist in maintaining positive customer relations by providing responsive facility services.
  • Oversee workplace and facilities contracted services with compliance to specs and regulations.
  • Manage occupancy experience requests via a helpdesk/work ticket system with accurate data entry.
  • Support vendor selection through bids and bid analyses.
  • Act as liaison between service providers and facilities management teams.
  • Prepare and manage performance dashboards and budget variance analyses.
  • Support space allocations and small office moves as part of lifecycle projects.

How You’ll Make an Impact
  • Assist in maintaining positive customer relations by providing responsive and quality facility services.
  • Oversee workplace and facilities contracted services, ensuring compliance with specifications and regulatory requirements.
  • Manage customer occupancy experience requests through a helpdesk or work ticket system, ensuring accurate data entry and coordination.
  • Support the vendor selection process by managing competitive bids and conducting bid summary analyses.
  • Act as a liaison between service providers and facilities management teams, facilitating effective communication.
  • Prepare and manage performance dashboards and reports, including financial accruals and budget variance analyses.
  • Support building life cycle projects and facilities planning, coordinating space allocations and small office moves.
What You’ll Bring to Spectrum
Required Qualifications
Education
  • Bachelor’s degree in Business Administration or related field, or combination of education and experience
Experience
  • 2+ years of experience within facilities or property management
Skills
  • Demonstrate effective spatial skills with experience implementing workplace strategies and translating business requirements into space requirements for business units
  • Possess intermediate knowledge of CAFM/IWMS systems, Excel, and PowerPoint for consolidating data and floor plans into presentations
  • Exhibit proven ability to solve problems and the desire to create and build processes
  • Provide demonstrated customer service skills and ability to interface with various levels of management and staff
  • Thrive in ambiguous situations among numerous cross-functional entities
  • Demonstrate proven complex and creative problem-solving skills
  • Stay up-to-date on industry best practices
