Overview

TalentoHC has partnered with a full-service commercial law firm with offices in New Jersey, New York, and Florida, seeking a motivated and experienced Word Processor. This role serves as the primary point of contact for users seeking document assistance and problem resolution, ensuring legal documents are produced with the highest level of accuracy. This hybrid position is based in the Newark, New Jersey office and reports to the Administrative Manager.

Responsibilities
  • Document Production: Create, edit, and revise complex legal documents adhering to Firm styles and guidelines using Microsoft 365, iManage, and Legal Numbering.

  • Technical Support: Act as the first point of contact for word processing assistance, providing technical support via email, phone, helpdesk, and in-person.

  • Specialized Legal Formatting: Facilitate the creation of Tables of Authorities and Tables of Contents using Best Authority; perform hyperlinking via Westlaw/Lexis and document bookmarking.

  • Administrative Integration: Manage incoming administrative tasks, enter attorney time and file expense reports, and perform departmental secretarial duties as required.

  • Court & Legal Compliance: Demonstrate competence in E‑Filing for Federal and State Courts (NJ/NY) and handle in-person or virtual notarizations.

  • Data & Media Management: Perform data entry from various software applications and process digital dictation via BigHand.

  • Collaboration: Work independently to complete a high volume of work while assisting with document conversion, "cleanup," and complex printing projects.

Requirements
  • Experience: Minimum of 5 years of secretarial or word processing experience within a law firm environment.

  • Technical Expertise: Advanced proficiency in Microsoft Suite (Word, Excel, Outlook, Teams), iManage, Kofax Power PDF, Litera Compare, and BigHand Dictation.

  • Software Knowledge: Familiarity with Intapp (Time/Billstream), Best Authority, and DocuSign.

  • Soft Skills: Exceptional attention to detail, strong problem-solving skills, and a professional, personable demeanor dedicated to customer service.

  • Adaptability: Ability to multi-task in a high-volume environment and a willingness to stay late or arrive early as necessary to meet deadlines.

  • Education: High School Diploma required; Bachelor’s or Associate degree is a plus.

Base Salary: $80,000 – $110,000 (Commensurate with Experience)
