Job summary

Unknown resort seeks an events specialist to consult with clients on meetings, conferences, and weddings, and to coordinate services across the property.

You will review event invoices, arrange AV, transportation, catering, signage, and other needs, and lead rehearsals where required. The role requires active movement around multiple venues and availability for evenings and weekends.

Job description

JOB REQUIREMENTS

Consult with customers to determine objectives and requirements for events, such as meetings, conferences, and conventions. Review event bills for accuracy and approve payment. Coordinate services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing and event security. Arrange the availability of audio-visual equipment, transportation, displays, and other event needs. Inspect event facilities to ensure that they conform to customer requirements. Maintain records of event aspects, including financial details. Plan and develop programs, agendas, budgets, and services according to customer requirements. Coordinate and lead wedding rehearsals when included in the resort's services. Serve as the primary resort contact for the couple on the wedding day. Conduct post-event evaluations to determine how future events could be improved. The position requires walking throughout the resort, conducting extended property tours, navigating indoor and outdoor venues, standing for extended periods during events, and remaining active during setup and execution. The role may also require moving or handling light event materials and responding quickly between multiple resort locations.

OTHER EXPERIENCE AND QUALIFICATIONS

Two or more years of hospitality sales, wedding sales, catering sales, wedding planning, event management, or related Experience Preferred. Experience Within a Full-service Resort, Hotel, convention property, destination venue, country club, or upscale event Environment Strongly Preferred. Demonstrated Experience Managing weddings or complex social events from initial inquiry through execution. Proven ability to build relationships, present confidently, negotiate, and close business. Working knowledge of wedding ceremonies, receptions, banquet service, food and beverage operations, guestroom blocks, event timelines, and vendor coordination. Experience preparing Banquet Event Orders, floor plans, timelines, guarantees, and event documentation. Strong understanding of the relationship between sales commitments and operational execution. Excellent written, verbal, and interpersonal communication skills. Exceptional organization, responsiveness, follow-through, and attention to detail. Ability to manage multiple weddings, deadlines, appointments, proposals, BEOs, and event files simultaneously. Comfortable discussing budgets, contractual terms, deposits, minimums, billing, and financial commitments. Proficiency with CRM systems, event-management software, Microsoft Office, email, virtual meeting platforms, and diagramming or floor-plan tools. Ability to remain composed and solutions-oriented while working with emotionally invested clients, families, and wedding parties. Ability to make timely decisions and resolve issues in a fast-paced event environment. Availability to work evenings, weekends, holidays, rehearsals, bridal shows, and wedding events based on business needs.
