We are currently seeking an experienced Wealth Management Client Services Manager to join our team. This is a key position on our team with significant responsibility for managing the firm's client service and new-business processing functions.
The successful candidate will take ownership of the day-to-day processing and servicing of client and prospective client business, working closely with our advisors, clients, prospective clients, custodians, insurance carriers, home-office operations, compliance departments and other vendor partners. This position requires a highly organized, detail-oriented professional who can manage multiple priorities, take ownership of responsibilities, exercise good judgment, and ensure that client business is processed accurately, efficiently, timely and always in accordance with all compliance requirements.
Responsibilities
The Wealth Management Client Services Manager will be responsible for managing the firm's efforts in processing new business and servicing existing client relationships. Primary areas of responsibility include:
New Business Processing
- Initiating new-client data gathering and preparing and processing applications and account-opening paperwork for both investment and insurance business.
- Gathering and organizing the personal, financial and other documentation necessary to prepare and process new client business.
- Coordinating the new-business process from initial application through completion, including monitoring outstanding requirements and following up as necessary.
- Coordinating with custodians, insurance carriers, broker-dealer/home-office operations, compliance departments and other vendor partners to ensure new business is processed accurately, efficiently and in accordance with applicable compliance requirements.
- Tracking and confirming the movement of assets, premium payments and cash receipts, and the establishment of all outgoing cash disbursement arrangements for all new business.
- Preparing and coordinating client and prospective client communications necessary to support the new-business process and client service requirements.
- Tracking and documenting all new business processing through completion in our CRM system for each client.
Existing Client Service
- Researching, coordinating and processing existing client account and insurance policy service requests.
- Processing client requests involving distributions, systematic withdrawals, transfers, beneficiary changes, account maintenance and other account or policy servicing needs.
- Coordinating with custodians, insurance carriers, home-office operations, compliance departments and other vendor partners to complete client service requests.
- Tracking and confirming asset movements, premium payments, cash receipts and distributions associated with client transactions.
- Following each service request through to completion and proactively communicating with clients and advisors regarding outstanding requirements or issues.
- Researching client questions and service issues and coordinating with the appropriate internal or external resources to provide timely resolution.
- Tracking and documenting all client service processing through completion in our CRM system for each client.
Client & Prospect Scheduling
- Managing scheduling and calendar coordination for client and prospective client meetings, including coordinating availability, scheduling appointments and creating Zoom meeting invitations. This applies to all new, follow-up and review meetings.
- Ensuring clients and prospective clients receive appropriate meeting confirmations, invitations and other information necessary for scheduled appointments.
- Coordinating the President's calendar for non-client professional activities, including conferences, educational events, wholesaler meetings, prospecting events and other professional commitments.
Client Data & Documentation
- Researching, entering and maintaining accurate client and prospective client personal and financial information in the firm's Client Relationship Management (CRM) system and electronic filing system.
- Ensuring that client records and supporting documentation are complete, current and properly organized, and all relevant materials are archived in our electronic filing system.
- Managing the firm's Redtail CRM database with respect to initiating and tracking activities and workflow related to client servicing for all firm prospects and clients.
- Preparing client and prospective client communications necessary to support new business and ongoing account and policy servicing.
Internal & External Coordination
- Serving as a primary point of coordination between the firm's advisors and the various custodians, insurance carriers, broker-dealer/home-office operations, compliance departments and other vendor partners involved in client business.
- Monitoring outstanding business and service requests to ensure that items are completed timely and that nothing falls through the cracks.
- Identifying processing issues or potential problems and taking appropriate action to resolve them or bringing them to the attention of the appropriate team member.
- Maintaining a high level of accuracy, organization, confidentiality and compliance in all aspects of client service and business processing.
- Developing a thorough understanding of the firm's processes and procedures and consistently applying them to client and prospective client business.
The Wealth Management Client Services Manager reports directly to the President of the firm.
Qualifications — Required
- 5+ years of professional experience in wealth management, financial services, investments, insurance or a related field (equivalent combinations of education and relevant professional experience will be considered).
