Morgan Stanley is seeking an Administrative Assistant to provide proactive executive support to four Managing Directors on the OCIO team. You will manage calendars, travel, expenses, and logistics with precision in a fast-paced environment.

The role requires meticulous organization, strong communication, and teamwork across executives and internal partners. You will engage in ongoing training and contribute to projects and events as needed.

Qualifications

  • 4+ years of experience working as an executive assistant in a corporate environment.
  • Detail oriented with superior organizational skills.
  • Advanced Microsoft Office skills (Word, Excel, Outlook and PowerPoint).
  • Effective communication and interpersonal skills (both written and verbal).
  • Ability to multitask in a fast-paced, evolving environment.

Responsibilities

  • Manage calendars and coordinate logistics for internal, external events and team meetings, including attendees, materials and communications.
  • Monitor email, mail services, general copying, filing and scanning.
  • Schedule travel and process expense reports.
  • Assist with various meeting preparation.
  • Active participation in available training and education programs to maintain current status on policies, procedures and risk awareness.
  • Facilitate and/or conduct ad hoc projects, trainings, and events for the team as necessary.
  • Administer other duties as delegated by the team.

Outsourced Chief Investment Officer (“OCIO”) group partners with Morgan Stanley Financial Advisors across all channels to offer full discretion portfolio management services to institutional and private clients (e.g., Defined Contribution plans, Defined Benefit plans, Endowments, Foundations, Ultra-High Net-Worth, Family Offices, etc.) of Morgan Stanley Wealth Management.

The Administrative Assistant will provide efficient and effective executive support to around four Managing Directors or senior executives on the OCIO team, in areas such as calendar management, expense management, and travel arrangements. This group of leaders travel extensively in support of client sales and client relationship management and effective preparation is paramount. The role requires an Administrative Assistant that possesses structure, attention to detail, quality focus, enthusiasm and flexibility in a high-paced work environment. In this role you will need to work well in a team environment, be able to represent the leaders/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal contacts across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals. The Administrative Assistant would be a team player and would participate in daily calls to review all upcoming meetings, events etc.

Expected base pay rates for the role will be between $55,000 and $95,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
