Job summary

Veolia North America, in partnership with Clean Earth, seeks an Administrative/Data Entry Specialist to support a Detroit facility. You will manage inbound and outbound records, enter data, and help ensure regulatory compliance across documents and shipments.

The role requires accuracy, attention to detail, and solid experience with Microsoft Office and data systems. Public health and environmental compliance are key aspects of daily tasks.

Qualifications

  • BA/BS preferred or required.
  • 1+ year of data entry experience.
  • Experience in environmental sciences preferred.
  • HM126 certification preferred.
  • Proficiency with CFR regulations and office software.

Responsibilities

  • Review manifests and bills of lading and verify accuracy.
  • Enter data into computerized tracking database and identify waste streams.
  • Prepare regulatory documentation and compliance paperwork.
  • Generate shipping paperwork and labels for the operations team.
  • Maintain filing systems and connect data across forms and customer profiles.
  • Provide clerical support including reception duties and mail distribution.
  • Report safety incidents and follow company policies.

Primary Responsibilities

At this facility, we collect, sort, process and ship materials that would otherwise wind up in the waste stream. This requires meticulous record keeping for this highly regulated industry. You’ll be joining an awesome team of friendly and dedicated professionals. In this role, you’ll provide detailed administrative support to ensure accurate records of materials moving through the facility, from inbound truck deliveries to outbound shipments:

  • Review manifests and bills of lading from inbound deliveries and verify accuracy.
  • Enter data into computerized tracking database. Identify all incoming waste streams at treatment plant.
  • Prepare documentation for regulatory compliance.
  • Generate shipping paperwork and labels for operations team.
  • Integrate information with manifests, bills of lading, process forms, check-in sheets, and customer profiles.
  • Enter all system required waste tracking information into database.
  • Record customer information to ensure compliance with program objectives.
  • Maintain computer files, logbooks and other files and records.
  • Prepare manifest and land disposal restriction forms and maintain associated filing systems.
  • Create and edit reports, including incoming and outgoing daily, weekly, and monthly inventory reports.
  • Provide clerical support including reception duties, phone coverage, word processing, office supply inventory, computer user support and mail distribution.
  • Promptly report any incidents, injuries or safety concerns to management.
  • Adhere to and abide by Clean Earth's safety and security policies and procedures (e.g. Cardinal Rules, Job Safety Analyses (JSAs), etc.).
  • Perform other reasonably related duties as assigned by management.

Responsibilities may vary based onsite level and/or location.

Work Environment
  • Must be able to regularly access and use general office equipment including phones, computers, copiers, etc.
  • Must be able to work in a busy, often distracting work environment that is generally climate-controlled.
  • Must be able to lift up to 20 pounds unassisted on an occasional basis.
  • Must be able to sit for long periods of time.
  • Must be able to stand or walk for long periods of time.
  • Ability and willingness to wear company-issued personal protection equipment (PPE) as needed, including, but not limited to, safety glasses, hardhat, steel-toed boots, gloves, Tyvek coveralls, and respirator.
  • Ability to work overtime hours as needed based on business needs.
Qualifications
  • Education:
    • BA or BS degree required or preferred.
    • High school diploma or GED.
    • Associate’s degree preferred.
  • Experience:
    • 1+ years of data entry experience.
    • Experience in environmental sciences preferred.
    • Experience processing receiving documents and tracking inventory preferred.
    • HM126 certification preferred.
  • Skills:
    • Working knowledge of 29CFR, 40CFR and other applicable regulations.
    • Proficiency using Microsoft Office software (Excel, Word, Outlook, Teams, SharePoint).
    • Highly detail-oriented with the ability to accurately enter data into computer system.
    • Ability to use computer software to manipulate data for reports and generate and respond to written communications.
    • Service- and team-oriented.
    • Problem-solving skills.
    • Ability to communicate effectively in English, both verbally and in writing.
