Job summary

The City of Idaho Falls is seeking a Warehouse Workday Assistant to support the Facility Services Manager with Workday administration, purchasing, inventory management, and work order processing for Idaho Falls Power.

You will maintain accurate records, coordinate with vendors and City departments, assist with warehouse receiving and audits, and help prepare billable documents while following safety and city policies.

Qualifications

  • Graduation from high school or equivalent; associate degree preferred.
  • Two years of admin/purchasing/inventory/ERP/Workday experience or related fields.
  • Experience with Workday or similar ERP software is desirable.

Responsibilities

  • Maintains inventory records through Workday, including receiving, allocations, cycle counts, and audits.

Job Description

The City of Idaho Falls is accepting applications for a Warehouse Workday Assistant. In this position you will assists the Facility Services Manager in the administration and coordination of Workday-related functions for Idaho Falls Power, including purchasing, inventory management, project creation and tracking, work order processing, data management, billing support, reporting, and other departmental administrative functions. Serves as the primary departmental resource for Workday processes while supporting inventory accuracy, procurement activities, and warehouse operations. Assists with warehouse receiving, stocking, inventory audits, and material accountability as needed to support the Warehouse Operations Assistant and overall utility operations.

Works under the general supervision of the Facility Services Manager.

Essential Functions
  • Supports the Facility Services Manager in the daily administration of Workday and serves as the department's primary Workday resource. Creates and maintains Workday projects, work orders, purchase orders, inventory transactions, labor allocations, equipment usage, and related records. Tracks and allocates labor, materials, equipment, purchase orders, contractor services, and inventory to ensure accurate project costing. Coordinates purchasing activities with vendors, City Purchasing, Finance, Engineering, and other City departments from requisition through project closeout. Monitors project progress, purchasing status, material availability, and work order completion while maintaining accurate Workday records.
  • Maintains inventory records through Workday, including receiving, material allocations, inventory adjustments, cycle counts, annual inventories, and inventory audits. Assists with warehouse receiving, stocking, organization, and inventory control while supporting the Warehouse Operations Assistant as needed.
  • Prepares invoices and supporting documentation for billable work orders, contributed capital projects, accidents, and other recoverable costs. Maintains departmental records, reports, contracts, preventive maintenance documentation, fleet records, and other operational files. Assists with reports, spreadsheets, correspondence, and other administrative support for Idaho Falls Power operations. Participates in required safety training and performs all work in accordance with City policies, utility procedures, and industry best practices.
  • Performs related duties as assigned.
Education and Experience
  • A. Graduation from high school or equivalent. AND B. Two (2) years of progressively responsible experience in administrative support, purchasing, inventory management, accounting support, enterprise resource planning (ERP) software, Workday, warehouse operations, or related fields. Associate's degree in Business Administration or a related field is preferred but not required. Preferred: Experience using Workday or similar Enterprise Resource Planning (ERP) software, purchasing systems, inventory management systems, or utility operations. OR C. An equivalent combination of education and experience.
Knowledge of
  • Modern office practices, records management, and administrative procedures.
  • Workday or other Enterprise Resource Planning (ERP) software preferred.
  • Purchasing, inventory control, and basic accounting principles.
  • Microsoft Office applications, including Excel, Word, and Outlook.
  • Utility operations and construction materials preferred.
Ability to
  • Learn and effectively use Workday and other business software applications.
  • Maintain accurate records and process data with a high degree of attention to detail.
  • Organize, prioritize, and manage multiple assignments.
  • Analyze information, identify discrepancies, and resolve routine problems.
  • Communicate effectively, both verbally and in writing.
  • Establish and maintain effective working relationships with employees, vendors, contractors, and the public.
  • Work independently while exercising sound judgment and maintaining confidentiality.
  • Perform occasional warehouse duties and safely lift and carry materials weighing up to 50 pounds.
Special Qualifications
  • Must possess a valid Idaho Class D Driver's License.
  • Forklift certification may be required or obtained after employment.
  • Workday software certification or training is desirable and may be required after employment.
Work Environment

Incumbent performs work primarily in an office environment utilizing computers, Workday software, and other business applications. Position also requires periodic work within the warehouse and material storage yard assisting with inventory verification, receiving, stocking, and material audits. Tasks involve sitting, standing, walking, bending, reaching, and occasional lifting of materials weighing up to fifty (50) pounds. Periodic exposure to indoor and outdoor weather conditions may occur while performing warehouse or inventory-related duties. Talking, hearing, seeing, and manual dexterity are essential to the successful performance of assigned duties. Mental application includes attention to detail, problem solving, organization, data accuracy, and the ability to manage multiple priorities in a dynamic utility environment.

Pay Range

$34.50
