Job summary

Total Warehouse is hiring a Warehouse Coordinator in Salt Lake City to ensure timely delivery, receiving, and organization of parts for service and parts departments. You will support field technicians, maintain inventory accuracy, and promote operational efficiency across locations.

Responsibilities include coordinating pickups, stocking, cycle counts, and processing shipments, while using equipment safely and updating work orders and records in Box. A detail-oriented team player is ideal.

Qualifications

  • High School Diploma or equivalent.
  • Ability to lift up to 50 pounds regularly and operate material-handling equipment.
  • Strong organizational and communication skills with attention to detail.

  • Assist with warehouse reorganization and storage optimization.

Description

The Warehouse Coordinator role is responsible for ensuring the timely and accurate delivery, receipt, and organization of parts and materials for the service and parts departments. This position plays a vital role in supporting field technicians, maintaining inventory accuracy, and promoting operational efficiency across multiple locations. Key responsibilities include delivering parts to job sites, assisting with shipping and receiving, conducting inventory cycle counts, asset reviews and maintaining a clean, organized stockroom and warranty area. The ideal candidate is detail-oriented, dependable, and thrives in a fast-paced, team-focused environment, ensuring smooth operations between parts, service, and logistics functions.

Requirements

Job Responsibilities:

  • Coordinate the pickup and delivery of parts to field technicians and vendors to support service operations.
  • Partner with Dispatch to ensure technicians are fully equipped with required parts prior to dispatch.
  • Manage inventory accuracy through cycle counts, inventory audits, stock transfers, and warehouse organization initiatives. Receive, inspect, and validate incoming inventory against purchase orders and shipping documentation.
  • Pull, stage, and prepare parts orders for both Shop and Road Service teams.
  • Prepare equipment and units for shipment, ensuring proper setup, cleanliness, and packaging standards are met.
  • Maintain accurate inventory records across warehouse and technician van locations.
  • Process and track stock-to-stock transfers, transfer orders (TOs), and vendor pickups.
  • Update and monitor work order statuses, including Parts Needed, Paused for Parts, and Parts Arrived/Re- Dispatch.
  • Conduct daily cycle counts and promptly report inventory discrepancies, shortages, and overages to management.
  • Assist with warehouse reorganization, stockroom restructuring, and inventory relocation projects to maximize storage capacity and efficiency.
  • Maintain electronic filing systems for delivery receipts, inventory documentation, and shipping/receiving records in Box. Review shipping and receiving documents to ensure accuracy and compliance.
  • Perform asset reviews and maintain accurate records using the TW Mobile App.
  • Operate forklifts, pallet jacks, and other material-handling equipment safely and efficiently.
  • Load and unload inventory, equipment, and freight from trucks and delivery vehicles.
  • Support van inventory management and recurring cycle count programs.
  • Implement and maintain inventory control policies, procedures, and best practices.
  • Maintain effective communication between CSR, Parts, Dispatch, Technicians, Rentals Team, and Regional Operations.
  • Perform other duties as assigned

Required Experience:

  • Demonstrates strong organizational skills.
  • Pays close attention to detail.
  • Possesses physical strength necessary to lift boxes and other heavy items on a regular basis.
  • Ability to operate various types of materials handling equipment including hand trucks, pallet jacks, standard forklifts, and order-picker forklifts when needed.
  • Strong reading and communication skills.
  • NetSuite experience is recommended
  • Excel is a Plus
  • Must have a valid drivers license with a good driving record

EDUCATION AND EXPERIENCE:

  • High School Diploma or equivalent experience

PHYSICAL REQUIREMENTS: The physical demands described here are representative of those that are must be met by an employee to successfully perform the essential functions of this job.

  • Must be in good physical condition and have good motor skills.
  • Must be able to lift up to 50 pounds at times.
  • Ability to function in work environment with moderate noise level from several sources creating constant activity.
