Job summary

BAP Pharma in New Jersey is seeking a Warehouse & Logistics Manager to lead day-to-day warehouse operations, ensuring GDP compliance and accurate inventory control, from receipt to dispatch.

You will manage transportation, supervise staff, drive continuous improvement, and partner with QA to support audits and regulatory requirements, with focus on safe, compliant distribution of pharmaceutical products.

Qualifications

Responsibilities

The Role

The Warehouse & Logistics Manager is responsible for the day-to-day leadership, compliance, efficiency, and continuous improvement of BAP US warehouse and distribution operations. The role ensures pharmaceutical and clinical trial supplies are received, stored, handled, and dispatched safely, accurately, and in accordance with GDP, DSCSA, internal SOPs, client requirements, and applicable regulatory requirements.

The Manager maintains oversight of inventory control, including the receipt, storage, retrieval, reconciliation, and timely shipment of medicinal products, while ensuring accurate documentation, system transactions, and full product traceability within the BAP US Inventory Management System.

The Manager supervises daily warehouse activities as well as providing leadership and oversight of transportation activities from supplier collection through final customer delivery, including the management and performance of approved logistics providers. The role is responsible for leading and developing the warehouse and logistics team, managing employee performance, and driving continuous improvement through effective people management, operational oversight, and cross-functional collaboration.

RESPONSIBILITIES OF THE WAREHOUSE & LOGISTICS MANAGER
Responsibilities
  • Manage and oversee all day-to-day warehouse and logistics operations, including receiving, storage, picking, packing, dispatch, returns, quarantine, inventory control, and destruction activities.
  • Ensure all goods are accurately booked into and out of the Inventory Management/ERP system, including product details, manufacturer lot/batch numbers, expiry dates, quantities, and delivery information.
  • Maintain effective stock control and inventory accuracy, including stock counts, reconciliation, expiry management, investigation of discrepancies, and appropriate segregation of inventory.
  • Oversee temperature-controlled storage and distribution, ensuring appropriate controls are maintained to protect product integrity throughout storage and transportation.
  • Manage logistics providers and couriers, including obtaining and negotiating rates, coordinating transportation requirements, monitoring carrier performance, and recommending appropriate logistics solutions.
  • Liaise with internal stakeholders, including Project Management, Quality, Packaging & Labelling, and third-party providers, to ensure shipments are prepared and delivered accurately and on time.
  • Ensure warehouse and logistics activities comply with GMP/GDP/GxP requirements, SOPs, Good Documentation Practices, health and safety requirements, and applicable client/regulatory requirements.
  • Partner with Quality to support & perform deviations, CAPAs, investigations, temperature excursions, change controls, and internal/external audits, while maintaining warehouse inspection readiness.
  • Manage warehouse facility organization, space utilization, equipment, maintenance, calibration, security, temperature-monitoring devices, and operational readiness.
  • Serve as the primary escalation point for warehouse and logistics issues, including shipping delays, inventory discrepancies, temperature concerns, carrier issues, and documentation errors.
  • Establish and monitor warehouse and logistics KPIs and drive continuous improvement initiatives to improve operational efficiency, compliance, service levels, and logistics costs.
REQUIREMENTS
  • Education: High school diploma at a minimum, University degree preferred.
  • Minimum 3 years' direct work experience in a warehouse & logistics capacity, including all aspects of liaising and relationships with courier companies.
  • Database and operational experience with stock control systems and ERP systems
  • Experience working both independently and in a team-oriented, collaborative environment is essential.
  • Strong people management skills with proven experience in leading, developing and motivating a team.
  • Flexible, especially during times of change. Ability to conform to shifting priorities, demands, and timelines through analytical and problem-solving capabilities.
  • Persuasive, encouraging, and motivating of others.
  • Working knowledge of GMP/GDP/GxP requirements and strong understanding of good documentation practices.
  • Experience working with HAZMAT regulations and processes is desirable.
  • Experience coordinating domestic and international shipments with specialist logistics providers and couriers.
