Job summary

Namaste Solar is seeking a Warehouse Coordinator to support the Warehouse Manager and Residential Operations by maintaining accurate inventory, preparing material for projects, and ensuring crews have tools and materials to complete installations efficiently.

You will stage materials, assemble and restock job kits, manage shared tools, stock vehicles, and maintain a clean, safe warehouse environment, collaborating with Purchasing, PM, Field Ops, and vendors.

Qualifications

  • Knowledge of warehouse operations, inventory control, receiving, shipping, and material handling procedures.
  • Ability to receive, inspect, count, organize, and properly store solar PV equipment, tools, and materials.
  • Knowledge of OSHA regulations, warehouse safety practices, and proper material-handling procedures.
  • Ability to safely operate forklifts, pallet jacks, carts, and other material-handling equipment.

Responsibilities

  • Perform regular cycle counts to ensure inventory accuracy.
  • Monitor and process material transfers between locations efficiently.
  • Submit purchase requisitions to maintain optimal inventory levels.
  • Manage staging of project materials and ensure accurate sales orders in Intacct.
  • Print and prepare project documents aligned with staging schedules.
  • Support inbound and outbound logistics including receiving/shipping and freight coordination.
  • Prepare and organize materials for will-call orders with clear labeling for easy retrieval.
  • Maintain clean, safe, and orderly warehouse and outdoor areas.
  • Assist Warehouse Assistant and collaborate with Fleet on vehicle inspections.
  • Assist with RMA processing, shipping/receiving docs, data entry and labeling.
  • Support facilities tasks like recycling, snow removal, and safety measures.
  • Transport materials between locations using box trucks or shared vehicles.
  • Contribute to projects improving warehouse workflow, safety, and crew efficiency.
  • Replenish pack-outs and go-bags; keep kits stocked and deployed as needed.
  • Maintain accurate inventory records across daily/weekly/monthly/annual cycles.

Position Overview

The Warehouse Coordinator supports the Warehouse Manager and Residential Operations teams by maintaining accurate inventory, coordinating job material preparation, and ensuring installation crews have the materials, tools, and equipment needed to complete projects efficiently and successfully. This role is responsible for staging materials according to project schedules, assembling and restocking job kits, managing shared tools and equipment, stocking installation vehicles, and maintaining overall warehouse appearance.

Key Responsibilities
  • Perform regular cycle counts to ensure inventory accuracy
  • Monitor and process material transfers between locations efficiently,
  • Submit well-documented purchase requisitions to maintain optimal inventory levels.
  • Manage the staging of project materials meticulously to facilitate smooth operations, while ensuring the timely and accurate creation of sales orders in the Intacct system for effective order management and fulfillment.
  • Print and prepare project documents in alignment with staging schedules.
  • Support inbound and outbound logistics, including receiving shipments, unloading trucks, preparing outgoing shipments, and coordinating freight.
  • Thoroughly prepare and meticulously organize all materials required for will-call orders, ensuring that each item is accurately labeled and easily accessible for quick retrieval upon crew's arrival.
  • Maintain a clean, safe, and orderly warehouse and outdoor work areas.
  • Assist and support the Warehouse Assistant's daily activities.
  • Collaborate with the fleet team on routine vehicle inspections and related needs.
  • Assist with RMA processing, shipping/receiving documentation, data entry, and label creation.
  • Support facilities-related tasks such as recycling, snow removal, and outdoor safety measures.
  • Transport materials between company locations using box trucks or shared vehicles.
  • Participate in projects that improve warehouse workflow, safety, and crew efficiency.
  • Support the replenishment of pack-outs and go-bags by ensuring that all essential supplies are inventoried and re-stocked. It is important to maintain these kits in optimal condition to ensure they are ready for deployment.
  • Maintain accurate inventory throughout daily, weekly, monthly, and annual cycles, with inventory management as the top priority.
Additional Essential Knowledge, Skills, & Abilities
  • Knowledge of warehouse operations, inventory control, receiving, shipping, and material handling procedures.
  • Ability to receive, inspect, count, organize, and properly store solar PV equipment, electrical components, tools, and other materials.
  • Ability to maintain accurate inventory records, perform cycle counts, investigate discrepancies, and reconcile physical inventory with ERP/system records.
  • Knowledge of OSHA regulations, warehouse safety practices, and proper material-handling procedures.
  • Ability to safely operate forklifts, pallet jacks, carts, and other material-handling equipment.
  • Ability to prepare materials and equipment for field crews, ensuring orders are complete, accurate, and ready according to project schedules.
  • Ability to coordinate incoming deliveries, outgoing shipments, freight carriers, and material transfers.
  • Strong attention to detail when reviewing purchase orders, packing slips, bills of lading, inventory transactions, and shipping documentation.
  • Ability to identify damaged, defective, missing, or incorrect materials and coordinate appropriate resolution.
  • Ability to maintain a clean, organized, and safe warehouse, including proper labeling, storage, and material locations.
  • Ability to work effectively with Purchasing, Project Management, Field Operations, Accounting, and vendors to resolve material and logistics issues.
  • Ability to adapt to changing project priorities and urgent material requests while maintaining accuracy and organization.
  • Basic understanding of electrical components, tools, PPE, and job-site materials used in solar installation and construction.
  • Ability to use barcode scanners, inventory-management tools, and other warehouse technology as applicable.
  • Ability to maintain accurate records, documentation, and chain of custody for company assets and equipment.
  • Valid Driver's License and insurable under company policy.
  • Positive, team-oriented mindset with demonstrated written and verbal communication skills.
Preferred (Not Required)
  • Familiarity with multiple solar racking and mounting systems
  • Experience coordinating material staging, deliveries, or field crew support
  • Ability to read electrical plans and one-line diagrams
  • Forklift certification
  • OSHA or other relevant safety training/certifications
Physical Demands & Work Environment
  • Regularly required to stand, walk, sit, use hands, reach, talk, and hear.
  • Ability to lift and carry up to 50 lbs. climb ladders, work at heights as needed, and safely perform frequent standing, walking, bending, reaching, pushing, pulling, and material handling.
  • Work is primarily warehouse-based with moderate noise levels.
  • Travel between facilities may be needed as business needs dictate. (Company owned vehicles)
