Job summary

Cygnet Taunton is seeking a Ward Administrator/Clerk to join our inpatient mental health unit. The role involves supporting ward administration, data management and reception duties within a 36-hour week at Taunton Hospital.

Ideal candidates have at least 2 years of admin experience, strong typing and minute-taking skills, and a solid understanding of patient confidentiality. DBS check will be required.

Qualifications

• 2 years experience in administration in a fast-paced environment.
• Proficient typing and minute taking.
• Organised, diligent and adheres to processes & procedures.
• Knowledge of mental health and patient confidentiality issues.
• Proficient in inputting, pulling & analysing data using Microsoft Excel.
• Excellent verbal and written communication with strong interpersonal skills.
• Able to swiftly solve problems & work under pressure without compromising quality.

Responsibilities

• Assist wards with completion of relevant forms (e.g. Admission Paperwork).
• Help ensure wards comply with clinical dashboards.
• Ensure paperwork is submitted so the patient database is kept up to date.
• Assist with data collection to meet corporate requirements and monitor ward KPIs.
• Maintain filing/record keeping systems and decant notes per policy.
• Update ward displays and information points to stay current.
• Liaise with external agencies, referrers, relatives and professionals.
• Attend and take minutes at meetings as requested.
• Record all enquiries and ensure actions are taken where needed.
• Provide reception cover during breaks and manage switchboard.
• Support Administration Department as requested.
• Ensure confidentiality and security of patient data.
