Description

The Vice President of Property Management provides strategic and operational leadership for the Credit Union's portfolio of owned and leased properties, including branch locations, administrative offices, operations centers, undeveloped property, and other real estate assets. This position is responsible for ensuring all properties are safe, secure, well-maintained, cost-effective, compliant, and aligned with the Credit Union's operational needs, brand standards, and member experience expectations. The VP oversees property operations, facilities maintenance, space utilization, real estate administration, third-party service providers, vendor contracts, lease agreements, property-related budgets, and landlord and tenant relationships. The VP serves as the primary organizational leader during property-related emergencies and works collaboratively with executive management, branch leadership, Legal, Risk Management, Security, Finance, Information Technology, and other departments to support business continuity and the Credit Union's long-term property strategy.

Essential Functions and Responsibilities:

  • Provides oversight of all Credit Union-owned and leased properties, including branches, administrative offices, operations centers, undeveloped property, and other real estate assets. Develops and implements portfolio-wide property management standards that support safety, regulatory compliance, operational continuity, brand consistency, and a positive member and employee experience.

  • Conducts or coordinates routine property inspections and condition assessments. Maintains accurate records of property conditions, warranties, deeds, surveys, easements, property taxes, appraisals, permits, certificates of occupancy, warranties, equipment, deferred maintenance needs, anticipated property expenses, and other property-related records. Identifies opportunities to improve the use, performance, value, and cost-effectiveness of the Credit Union’s real estate portfolio.

  • Supports the evaluation, acquisition, leasing, occupancy, disposition, relocation, opening, and closure of Credit Union properties in coordination with executive management and appropriate internal and external partners.

Facilities Operations and Maintenance:

  • Provides leadership for daily facilities operations across all Credit Union locations. Oversees preventative and corrective maintenance for building systems, including HVAC, electrical, plumbing, generators, roofing, lighting, elevators, fire-protection systems, sprinkler systems, access-related equipment, and other critical infrastructure. Participates in emergency exercises and incorporates lessons learned into property plans.

  • Selects, develops, coaches, and evaluates assigned employees. Establishes performance expectations, promotes cross-training and succession planning, allocates resources effectively, and fosters a culture of accountability, service, safety, and continuous improvement.

  • Ensures work requests are prioritized, assigned, tracked, documented, and completed within established service expectations. Oversees the facilities work-order system, maintenance schedules, property records, supply inventories, furniture and equipment needs, fleet-related responsibilities, signage, and support for organizational events.

  • Ensures facilities are maintained in a clean, professional, safe, and secure condition consistent with Credit Union standards.

Third-Party Contracts and Vendor Management:

  • Provides oversight of third-party contracts supporting the Credit Union’s properties, including agreements for maintenance, HVAC, electrical, plumbing, landscaping, janitorial services, pest control, waste removal, roofing, life-safety systems, utilities, inspections, security-related services, and other ongoing property needs.

  • Leads or coordinates vendor selection, competitive bidding, contract negotiation, implementation, renewal, and termination activities in partnership with Legal, Risk Management, Finance, and other stakeholders. Establishes service-level expectations and monitors vendor performance, responsiveness, quality, insurance coverage, licensing, regulatory compliance, and adherence to contractual requirements.

  • Maintains a centralized contract-management process that tracks key terms, pricing, renewal dates, notice requirements, performance standards, and organizational responsibilities. Addresses vendor performance concerns and implements corrective action when appropriate.

Lease Administration and Real Estate Agreements:

  • Oversees the administration of all property-related lease agreements, including locations where the Credit Union serves as either tenant or landlord. Reviews and monitors lease terms, renewal options, expiration dates, notice periods, rent adjustments, common-area maintenance charges, operating expenses, maintenance responsibilities, insurance requirements, and other contractual obligations.

  • Coordinates lease negotiations, amendments, extensions, renewals, and terminations with executive management, Legal, Finance, brokers, landlords, tenants, and other appropriate parties. Ensures lease obligations are documented, communicated, budgeted, and fulfilled in a timely manner.

  • Evaluates leasing alternatives and provides recommendations regarding financial impact, operational requirements, market considerations, property condition, and long-term organizational needs.

Property Planning and Space Management:

  • Oversees the effective use and allocation of space throughout the Credit Union’s property portfolio. Partners with organizational leaders to evaluate occupancy needs, departmental space requirements, furniture and equipment placement, property capacity, and opportunities to improve space utilization.

  • Coordinates property-related activities associated with branch openings, closures, and relocations, while partnering with the appropriate internal leaders and external professionals responsible for any construction or renovation work.

  • Develops recommendations regarding future property needs, including lease-versus-own considerations, location performance, operational requirements, and long-term portfolio strategy.

Financial Management and Reporting:

  • Develops and manages annual operating budgets for property management and facilities. Reviews invoices, proposals, contracts, utility expenses, lease payments, common-area maintenance charges, and property-related expenditures for accuracy and compliance with approved terms.

  • Identifies opportunities to reduce operating costs, improve energy efficiency, strengthen vendor performance, and extend the useful life of Credit Union assets. Prepares reports and recommendations concerning portfolio performance, maintenance needs, lease obligations, vendor relationships, property risks, and anticipated expenditures.

  • Performs other job-related duties as assigned.

  • Three or more years of experience leading employees, vendors, contractors, or complex property-management activities is required.

  • Certified Property Manager, Certified Facility Manager, Facilities Management Professional, Real Property Administrator, or a comparable professional designation is preferred.

  • Demonstrated ability to interpret and administer leases, service agreements, vendor contracts, proposals, and related property documentation.

  • Strong financial acumen, including experience developing budgets, reviewing operating expenses, evaluating proposals, and analyzing property costs.

  • Ability to negotiate effectively and maintain productive relationships with landlords, tenants, vendors, contractors, brokers, consultants, and governmental agencies.

  • Working knowledge of building systems, life-safety requirements, regulatory standards, and property risk-management practices.

  • Strong leadership, project-management, decision-making, and problem-solving capabilities.
