Job summary

Smart Data Solutions in Eagan, MN seeks a strategic leader to run Digital Mailroom Operations and drive automation across intake, classification, extraction, and delivery. You will own the end-to-end operating model, manage offshore/nearshore vendors, and push a multi-year roadmap to reduce manual data entry with OCR/ML and workflow automation.

The role demands building executive dashboards, ensuring 24-hour turnaround, and partnering with HR and IT to scale capabilities while maintaining

Qualifications

Bachelor’s degree in business, operations, engineering, information systems, or related field.
8+ years of progressive leadership in document processing, digital mailroom, or BPO operations.
3+ years managing offshore/nearshore vendor relationships in outsourced models.
Proven automation experience reducing manual data entry while maintaining quality.
Experience leveraging AI-enabled tools to improve efficiency and outcomes.
Direct experience owning SLA-driven operations with tight turnaround times.
Experience managing vendor contracts, SLAs, capacity, quality audits, and governance.
Strong analytical and financial skills with ability to own budgets and reporting.

Responsibilities

Own daily operations across mail receipt, scanning, ingestion, classification, indexing, data extraction, quality control, and distribution.
Ensure adherence to SLAs, including 24-hour turnaround from receipt to output.
Establish SLA tracking, escalation paths, recovery plans, and root-cause analyses.
Develop capacity, staffing, workflow, and business-continuity plans for volume changes.
Build executive dashboards on volume, turnaround, backlog, accuracy, and cost per document.
Maintain secure, compliant operating environment for PHI, PII, and confidential data.
Partner with HR to recruit talent and build capabilities for growth and transformation.
Lead automation strategy and projects to reduce manual data capture and improve speed and scalability.
Evaluate and deploy OCR, IDP, ML-based classification/extraction, and workflow technologies.
Define and track automation KPIs and the multi-year automation roadmap.
Establish human-in-the-loop controls and change-management practices.
Identify and implement AI-enabled tools to improve efficiency and outcomes.
Manage offshore/nearshore data capture vendors, terms, SLAs, and performance reviews.
Create vendor scorecards and lead transitions, RFPs, and governance forums.
