Job summary

Smart Data Solutions in Eagan, MN seeks a Vice President of Digital Mailroom Operations to lead automation, modernization, and day-to-day performance of the inbound document and data capture function. This role owns the end-to-end operating model from intake to delivery and must drive a 24-hour turnaround while advancing a multi-year automation roadmap.

Qualifications

Bachelor's degree or equivalent experience in a related field.
8+ years in progressive leadership in document processing, digital mailroom, or BPO operations.
3+ years managing offshore/nearshore vendor relationships in outsourced models.
Proven automation implementations reducing manual data entry while preserving quality.
Experience leveraging AI-enabled tools to improve efficiency and outcomes.
Direct experience owning SLA-driven operations with tight turnarounds.

Responsibilities

Lead daily operations across physical mail receipt, scanning, ingestion, classification, indexing, extraction, quality control, and distribution.
Ensure adherence to 24-hour SLA and formalize tracking, escalation, recovery, and root-cause analysis.
Develop capacity, staffing, workflow, and business-continuity plans for variability and growth.
Build executive dashboards covering volume, turnaround, backlog, accuracy, and cost per document.
Oversee offshore/nearshore vendor management, contracts, SLAs, and performance reviews.
Lead cross-functional partnerships with IT, Finance, Compliance, Security, and business units.
Drive organizational change, budgeting, forecasting, and governance in support of automation.
