Job Title: Volunteer Program Coordinator
Department: Programs

Position Summary
The Volunteer Coordinator is responsible for overseeing volunteer activities within Caritas of Austin. The main goal of the Volunteer Coordinator is to ensure that Caritas has enough volunteers to fulfill its service needs. To meet that goal, the Coordinator performs a variety of duties involving recruitment, training, community participation in outreach activities and program planning. The Coordinator tracks volunteer time via a volunteer database and organizes volunteer appreciation events.
Essential Duties & Responsibilities (inclusive but not exhaustive):
- Works with Deputy Director in program development and monitoring, including goal setting. This includes developing and tracking metrics related to recruitment goals, quantity, and value of volunteer hours, etc.
- Researches, implements, and updates appropriate technology tools to manage volunteer service functions e.g., appropriate data management software.
- Ensures that relevant volunteer data is entered accurately and timely into the volunteer data collection system.
- Ensures program compliance with grant requirements. Ensures compliance with applicable local, state, and/or federal funder requirements for client services.
- Generates appropriate volunteer opportunities and role descriptions based on the needs of the organization.
- Develops partnerships with Caritas programs to understand how they work and assesses their volunteer needs.
- Creates and consistently updates Standard Operating Procedures (SOP) Manual for all volunteer roles. Researches and writes volunteer policies and procedures.
- Prepares monthly and quarterly reports as needed.
- Manages program budget to ensure compliance with budget limits, and agency/funder fiscal policies and procedures.
- Promotes volunteering (internally and externally) through recruitment and publicity strategies and campaigns.
- Stays current on legislation and policy related to volunteering and makes any necessary modifications to accommodate changes.
- With input from the department director, makes decisions regarding retention, termination, etc., of volunteers.
- Creates monthly schedule of volunteer groups seeking day(s) of service. Shares calendar with Deputy Director, Food Services Manager, and Chief Programs Officer.
- Provides Chief Development Officer with relevant reports pertaining to the stewardship of volunteers and other collaborative issues.
- Works closely with the Community Partner Coordinator to cultivate volunteers.
- Supports the Development Team by organizing and leading volunteers at Caritas of Austin’s premiere fundraising event, Songs of Hope.
- Partners with the Development Team to recruit volunteers via the volunteer database system for events.
Volunteer Recruitment, Training and Placement- Develops and implements adequate screening tools for potential volunteers that ensure the best match between the skills, qualifications, and interests of the volunteers and needs of the organization.
- Responsible for developing, implementing and monitoring recruitment plan.
- Responsible for developing, evaluating, and revising necessary curricula for volunteer and staff training as it relates to the Community Advocate Program.
- Is responsible for knowing the content of all Caritas University classes and can teach all classes as needed.
- Develops and maintains training schedule for Caritas University. Ensures that all trainers are aware of schedule, number of enrollees, class location, and have ready access to materials. Consistently communicates this information to other critical staff e.g., front desk.
- Training materials MUST be consistently updated. Data in the materials MUST be accurate.
- Develops, implements, and oversees effective service delivery backup system, e.g., class cancellation policy and procedure, substitute trainers, etc.
- Responds with a high degree of urgency to the needs and requests of others, internally and externally. Understands the impact of their work on others.
- Responds to volunteer grievances as they relate to recruitment, screening, and training.
- Ensures there is thorough documentation in volunteer files of any violations reported by staff.
Leadership of the Volunteer Experience- Raises staff awareness of the role and function of volunteers.
- Trains staff to work effectively and cooperatively with volunteers. Conducts annual mandatory staff training on the supervision and retention of volunteers.
- Ensures that staff training includes clearly stated expectations that they are fully responsible for supervising the volunteer(s) once they are placed. This includes addressing problem areas and providing documentation of the same to the Volunteer Coordinator.
- Ensures that assigned volunteers are given appropriate training to be successful in their positions.
- Coordinates appropriate volunteer experiences within Caritas and at off-site events.
- Ensures the volunteer experience is easy to access, meaningful to the volunteer and productive to Caritas. This includes conducting periodic volunteer satisfaction surveys.
- Maintains proper boundaries in letting staff supervise volunteers once they are placed. This includes an expectation that staff supervising volunteers will directly address any challenging or inappropriate behaviors.
- Plans and implements formal and informal volunteer recognition activities to recognize the contributions of volunteers to the organization.
- Assists with conflict resolution among clients, staff, and volunteers according to policy.
- Develops and implements a process for evaluating the contribution and Caritas experience of individual volunteers.
Organization Support Functions- Participates in agency-wide planning and training functions.
- Represents the organization in public meetings and presentations to the community.
- Ensure that all data relevant to volunteers is clearly stated and consistently updated.
- Conducts outreach at community events with a strong focus on recruiting a diverse pool of volunteers.
- Complies with administrative procedures, reporting, and record keeping policies.
- Collaborates with other staff to ensure inter- and intra-departmental cooperation and coordination.
- Develops strong relationships within the Austin community to foster a positive image such that companies and individuals will make Caritas their volunteer organization of choice.
Other Duties- Designs an approved plan for professional development. This must include a strong focus on honing the ability to present effective and compelling messages to individuals, groups, and the general public.
- MUST consistently model the same ethics, professional boundaries and confidentiality standards taught to volunteers and expected of all staff.
Qualifications:Education
- Required – Bachelors or Master’s Degree from an accredited college/university.
- Preferred – A major in one or more of the following areas: education, social work, psychology, sociology, anthropology, international studies, and other human services related fields.
Experience- Required – Minimum two years of management experience.
- Required – Minimum two years of volunteer experience in a service organization with emphasis on volunteer programs.
- Required – Minimum two years of teaching experience.
Language Skills- Bilingual preferred (Spanish, French, and/or Arabic).
Computer Skills- High degree of familiarity with Microsoft Office Suite and standard office equipment required.
- Must be comfortable using client database systems.
Other Requirement(s)- Must have ability to work collaboratively and independently in a fast-paced environment.
- Dependable transportation – valid TX driver’s license.
Salary/Benefits:- Base Salary Range: $47,003 - $60,814.
- The salary offered will follow Caritas of Austin salary guidelines based on candidate's education and experience.
