Job summary

The Miracle Project is seeking a part-time Volunteer Coordinator in Beverly Hills. The role focuses on recruiting, onboarding, scheduling, and maintaining volunteer records, ensuring documentation is complete before participation, and serving as an on-site representative.

You will support engagement efforts, coordinate with teaching artists and families, and contribute to community outreach while maintaining a flexible on-site presence for events and activities.

Qualifications

  • Ability to maintain a reliable on-site presence during scheduled programs, including Tuesday and Wednesday evenings.
  • Discretion and confidentiality when handling volunteer and family information.
  • Reliable transportation to travel between program locations and community events.

Responsibilities

  • Communicate with prospective volunteers regarding programs, schedules, opportunities, expectations to determine placements.
  • Understand programs, mission, and Seven Keys/Rehearsing for Life to confidently represent the organization.
  • Manage incoming volunteer applications and conduct entry interviews.
  • Maintain and update the volunteer trial calendar and ensure prompt filing of materials.
  • Ensure volunteers have completed documentation and are approved before entering the program.
  • Maintain a consistent on-site presence during programs to welcome volunteers and support staff.
  • Track volunteer attendance and update program rosters.
  • Respond to general inquiries and direct volunteers/families to appropriate staff.
  • Develop strategies with leadership for volunteer engagement and retention, including events and training.
  • Represent The Miracle Project at events and outreach opportunities.

Job description

Employment Type: Non-Exempt. Part-Time

Schedule: Monday-Friday. Primarily remote. Regular on-site availability on Tuesday and Wednesday evenings is required, with occasional additional hours for special events, performances, and community outreach activities (10 hours per week).

Job Summary

The Volunteer Coordinator supports the organization’s volunteer engagement efforts, including recruitment, onboarding, scheduling, and record-keeping. This role ensures all required documentation and approvals are completed prior to volunteer participation and reviewed by the Director of Finance & Operations. This role is key to fostering meaningful community involvement and serves as a visible on-site representative of The Miracle Project, building relationships with volunteers, families, participants, and teaching artists while ensuring volunteers have a meaningful and well-supported experience.

Roles & Responsibilities
  • Communicate with prospective volunteers regarding The Miracle Project's programs, schedules, volunteer opportunities, philosophy, and expectations to help determine appropriate volunteer placements.
  • Develop a thorough understanding of The Miracle Project's programs, mission, and Seven Keys/Rehearsing for Life methodology, including observing and participating in classes as needed, to confidently represent the organization to volunteers, families, and community partners.
  • Manage incoming volunteer applications and conduct entry interviews.
  • Maintain and update the volunteer trial calendar and ensure prompt, accurate filing of application materials.
  • Ensure that all volunteers entering the program have completed all required documentation and are approved by the Director of Finance & Operations before entering the program.
  • Maintain a consistent on-site presence during programs to welcome volunteers, support teaching artists, answer questions, and ensure volunteers are successfully integrated into the classroom environment.
  • Track volunteer attendance and update program rosters accordingly.
  • Respond to general program and volunteer inquiries by phone and direct prospective volunteers and families to appropriate programs and staff.
  • Develop and implement strategies with executive leadership for volunteer engagement and retention, including coordinating appreciation events, training, and keeping online postings up to date.
  • Represent The Miracle Project at resource fairs, community events, fundraising events, performances, and other outreach opportunities as assigned.
  • Additional responsibilities as needed.
Qualifications
Required
  • Proficiency in Google Workspace and comfort learning volunteer management or database platforms.
  • Ability to maintain a reliable on-site presence during scheduled programs, including Tuesday and Wednesday evenings.
  • Discretion and confidentiality when handling volunteer and family information.
  • Reliable transportation to travel between program locations and community events.
Preferred (but not required)
  • Highly organized, proactive, and detail-oriented.
  • Excellent written and verbal communication skills.
  • Comfortable interacting with volunteers, families, program participants, and teaching artists.
  • Confident representing The Miracle Project and speaking about its programs and mission.
  • A self-starter who works independently, demonstrates sound judgment, and follows through with minimal supervision.
  • Passionate about inclusive arts-based programming and disability inclusion.

Through shared experiences with peers and volunteers, individuals with diverse backgrounds, communication styles, and abilities find their voice, develop their talents, and rehearse for life.
