Job description

We are seeking a highly organized and personable individual to fill the role of Volunteer Coordinator. The Volunteer Coordinator will be responsible for managing the scheduling and coordination of our volunteers, ensuring smooth operations and effective communication between volunteers and the Programs Department.

Duties and Responsibilities
  1. Schedule and coordinate volunteer shifts using sign-up software, ensuring coverage for all necessary tasks.
  2. Communicate regularly with volunteers to provide updates, reminders, and any necessary instructions.
  3. Maintain a high level of organization by tracking volunteer hours, tasks completed, and other relevant data.
  4. Assist in training volunteers on sign-up software and other tools as needed.
  5. Serve as a point of contact for volunteers, addressing any concerns or issues they may have.
  6. Collaborate with the Programs Department to ensure volunteers are properly prepared and briefed for their assigned tasks.
  7. Represent the organization professionally when meeting with volunteers or stakeholders in-person.
  8. Utilize Microsoft Excel, Word, and Outlook for administrative tasks such as creating schedules, drafting communications, and managing calendars.
  9. Provide administrative support to the Programs Department as needed, including data entry, filing, and other tasks.
  10. Demonstrate excellent written and verbal communication skills in all interactions with volunteers and colleagues.
Requirements
  1. High level of organization with proven experience in scheduling and coordinating tasks.
  2. Proficiency in Microsoft Excel, Word, and Outlook.
  3. Familiarity with sign-up software or the ability to quickly learn and adapt to new software platforms.
  4. Previous administrative background, preferably in roles such as Administrative Assistant, Office Assistant, or Executive Assistant.
  5. Customer service experience with the ability to interact professionally and effectively with volunteers and stakeholders.
  6. Strong communication skills, both written and verbal, with the ability to convey information clearly and concisely.
  7. Ability to maintain a professional appearance and demeanor when meeting with volunteers or stakeholders in-person.
  8. Comfortable working in a dynamic environment and able to multitask effectively.
  9. Willingness to collaborate with colleagues and adapt to changing priorities.
  10. Experience working with volunteer programs or nonprofit organizations is a plus.
