Job summary

Wolf Haven International seeks a Visitor Center Specialist to oversee the on-site Visitor Center and online webstore, manage merchandise inventory, and deliver excellent customer service to sanctuary visitors. The role includes handling transactions, ensuring displays are appealing, and supporting cross-department collaboration to reflect the organization’s mission.

  • Prior experience with QuickBooks Online, Shopify, Xola and/or other online marketplaces a plus
  • Strong organizational skills and attention to detail
  • Ability to stand for extended periods and lift and carry up to 50 lbs. occasionally.

  • Handle cash and cashier balance to ensure enough money is on hand during Visitor Center operating hours.
  • Maintain the Visitor Center’s overall cleanliness, merchandise stock, displays, and sales processes.
  • Maintain the online visitor reservation system, and provide excellent customer service for all visitors, emails, and calls.
  • Collaborate with departments to accurately display public information and reflect Wolf Haven's mission.
  • Assist with creating and designing new merchandise to reflect the organization’s brand and mission.
  • Conduct inventory ordering, pricing, stocking, and lead year-end inventory audit.
  • Coordinate volunteer schedules with the Volunteer Coordinator.

Wolf Haven International's Visitor Center Specialist oversees operations in our onsite Visitor Center and online webstore, and curates, sources, and manages the organization's merchandise inventory and sales. They provide excellent customer service to our sanctuary visitors, before, during, and after their visit to ensure that Wolf Haven's visits and products reflect the organization's values and philosophy, including the recognition that each animal is an individual whose quality-of-life matters.

Essential Functions
  • Manage the daily operation of the Visitor Center, and ensure that it is adequately staffed, organized, and open for business during visit hours,
  • Handle cash and cashier balance to ensure enough money is on hand during Visitor Center operating hours, including counting money, completing in person transactions, and running cash exchanges at the bank as needed
  • Maintain the Visitor Center’s overall cleanliness, guarantee that merchandise is stocked and displays are front-facing, appear professional and enticing to visitors, and manage the store’s sales processes
  • Maintain the online visitor reservation system, and provide excellent customer service for all visitors, customers, and partners answering phone calls and emails for visitor questions, responding timely within 48 hours
  • Work with the Development Director on continual improvements to the overall Visitor Center and working with other departments to accurately display public information
  • Assist with creating and designing new merchandise by partnering with the Communications Manager (and other staff as necessary) to confirm all planned and purchased merchandise appropriately reflects Wolf Haven's mission and brand, both in the store and through online partnerships
  • Conduct inventory ordering, pricing, and stocking, and direct the year-end inventory audit
  • Work with the Volunteer Coordinator to schedule volunteer support, as necessary
  • Ensure the webstore is continuously functional; coordinate technical support when needed and help update seasonal sales
  • Plan, compose, and execute merchandise postings for the webstore, recommend and implement updates to grow and improve the webstore
  • Work with the Visitor Assistant to ensure all shipped orders are fulfilled in a timely and accurate manner, and confirm that all shipments are properly received, checked, marked, and posted
  • Maintain accurate and current vendor files, and submit invoices for payment in a timely manner
  • Support data entry through Raiser’s Edge NXT for Development, including membership and sponsorships, Xola payments, donations, and ensure imported transactions are accurate and completed in a timely manner
  • Collaborate with other departments and managers on various projects, attend required staff meetings, and share regular Visitor Center updates with staff
  • Support and coordinate Visitor Center-related staff & volunteer activities and guided visits, as needed
  • Maintain a flexible schedule to work special events or cover shifts as needed
