Job description

Title: Virtual Event & Mobile App Event Manager
Location: San Jose, CA (100% REMOTE)
Duration: 5/1/2025through 10/31/2025, with possible extensions
Compensation: $42.00 - $46.00/hr
Work Requirements: USC, GC or Authorized to work in US

What You'll Do

  • Lead cross-functional event workstreams for WebexOne 2025; responsible for all strategy, planning and execution of the workstreams, keeping them organized, facilitating collaboration, and assisting with unblocking throughout projects:
    • Virtual Event workstream
      • Lead workstream calls with event producer, social media and web teams to ensure alignment across live streaming plans
      • Act as liaison between event platform and event producer
      • Provide streaming keys to event producer from event platform
      • Backstage representative for event platform to ensure session streams are operating properly
      • Responsible for gathering streaming metrics for post-event reporting
    • Mobile App workstream
      • Receive training for the mobile application used for WebexOne 2025
      • Download templates from platform and share with necessary workstreams
      • Share 2024 templates as working documents
      • Ensure workstream leads are meeting the deadlines for upload schedule
      • Assist with the content needed for the speaker profiles and sponsor booth builds
      • Support the Event Production Manager with content changes and uploads to the mobile app
      • Request creative assets for app such as banners, icons, splash screens, and more
      • Collect venue maps from operations lead
      • Responsible for gathering mobile app metrics for post-event reporting
    • Overall:
      • Overall day-to-day project management of workstreams, creating the workback plan, overseeing timelines, budget execution, reporting, project change notices, facilitating collaboration, and assisting with unblocking throughout the project
      • Coordinates, lead and collaborate with workstream contributors during weekly workstream status update calls
      • Provides input on overall event production schedule to Ops Lead
      • Responsible for creating slides in WebexOne master walking deck to communicate plans for all workstreams
      • Monitors event deadlines and change management logistics in real time to ensure they are met across all stakeholders

Requirements:
  • Bachelors degree
  • 5 years' experience overseeing virtual events and mobile apps for events 2,000+ attendees.
  • Very logistically strong, with exceptional organizational and project management skills, including overseeing complex workstreams across multiple functions composed of both technical and non-technical members
  • Pays attention to detail and can multi-task (spreadsheets and checklists are your best friend)
  • Excellent time management with the ability to ensure stakeholders meet deadlines
  • Effective communicator with superb written and verbal skills, who can communicate clearly and professionally with customers, team members and other stakeholders
  • Ability to maintain the highest level of professionalism and integrity when interacting with C-level executives, suppliers, attendees, speakers and talent
  • Uses communication to build relationships with others and foster teamwork
  • Strong people skills. No one is a stranger, and you understand how to connect with everyone, treating all with respect
  • An independent problem solver who is solution oriented and takes initiative without being prompted
  • This person thrives in a fast-paced environment and can demonstrate grace-under pressure
  • Demonstrates strong leadership and interpersonal skills to motivate the team and encourage them to work together to achieve a common goal
  • A "Do What It Takes" Team player who leads by example demonstrating how to work productively and with a positive attitude
  • Can handle a high volume of demand leading up to and during the event
  • Basic understanding of technical subjects and emerging technologies and relevance to the marketplace
  • Capable of producing executive level PowerPoint slides for meetings
  • Experience working with end-to-end event management platforms is a must
  • Strong understanding of post-event metrics and their importance to the overall event success
  • Familiarity with Microsoft Excel, Sharepoint, and Project Management tools
  • Comfortable using Webex collaboration software as main communication tool
  • Ability and willingness to travel 7-14 days for pre-event site visits and to support the event in-person in September 2025. Note: travel to San Diego, CA during WebexOne dates of Sept 26 - Oct 2 (includes set-up and tear-down) are mandatory.
