Our practice emphasizes warmth, professionalism, and personal connection. We are seeking an Administrative Assistant who shares our values and understands the sensitive nature of mental health services.

Position Overview:

We are looking for a highly organized and empathetic Administrative Assistant to support the daily operations of our practice. This role is primarily remote, with the potential for a hybrid arrangement if the ideal candidate is local. The assistant will be the first point of contact for many prospective clients, playing a key role in creating a welcoming and professional experience.

Key Responsibilities:
  1. Manage and respond to new patient inquiries via phone and email
  2. Schedule appointments and maintain the clinical calendar
  3. Perform insurance verification and insurance billing (experience required)
  4. Communicate with clients in a clear, compassionate, and professional manner
  5. Maintain confidentiality and follow HIPAA guidelines
  6. Support occasional administrative projects as needed
Required Skills & Qualifications:
  • Proven experience with insurance verification and billing for mental health services
  • Strong communication and interpersonal skills
  • Customer service experience, preferably in a healthcare or mental health setting
  • Basic knowledge of the mental health field and insurance processes
  • Organized, detail-oriented, and self-motivated
  • Ability to handle sensitive information with discretion
  • Tech-savvy, with proficiency in email, calendars, and scheduling software
Preferred Qualifications:
  • Familiarity with Therapy Appointment or similar electronic health record (EHR) systems
  • Prior work in a psychology or counseling office
  • Comfort working in a faith-informed (Christian) environment
