Job summary

KW Property Management & Consulting in Florida is seeking an ACC/Violations Coordinator to manage documentation of association violations, ACC applications, and compliance follow-ups. The role requires attention to detail, strong organizational skills, and ability to interact with homeowners and committees.

You will track violations, prepare letters, post meeting minutes, and maintain KWPM systems with applications, approvals, and deposits.

Qualifications

  • Prior experience as a CAM.
  • High school diploma or equivalent.
  • Previous experience with computers and software used in an office environment.
  • Ability to read and comprehend simple instructions, short correspondence, and memos; write simple correspondence.
  • Attention to detail and organization.
  • Ability to work well with others.

Responsibilities

  • Document Association violations and inspections per regulations.
  • Track violations to completion and document compliance.
  • Repeat inspections within required time frames.
  • Primary contact for non-compliance letters and follow-up to compliance or fine.
  • Provide documentation to PM/Board for determination of fines if necessary.
  • Update KWPM systems with violations documentation.
  • Attend Violation Control Committee meetings monthly.
  • Document ACC inspections and assist ACC applications.
  • Maintain ACC applications and approvals in KWPM systems.
  • Prepare letters for committee decisions and post meeting minutes.
  • Notify homeowners of project completion or deposit status; refer to Compliance if needed.

  • Responsible for all documentation of Association violations –inspections as necessary – understands regulations and rules as provided by Board and GM
  • Track violations for completion and documents compliance.
  • Repeat inspections as necessary within time frame determined for violations compliance
  • Primary contact for all non-compliance letters and follow-up to compliance or fine.
  • Provide PM with all documentation requesting compliance and resolution - For Board to make determination of fine if necessary
  • Update any KWPM systems with violations documentation as directed
  • This position interacts as well attends the Violation Control Committee Meetings on the monthly basis.
  • Responsible for all documentation of Association Architectural Control Committee (ACC) –inspections as necessary – understands regulations and rules as provided by Board and GM
  • Assist Homeowner's with questions related to ACC Application
  • Updated and maintain KWPM systems with applications and approvals as they relate to ACC
  • Primary contact for ACC related questions
  • This position interacts with the ACC on the basis as created by such committee and ACC Board Liaison

ACC Support:

  • Scan and record applications to a database that tracks the application from submission to final approval following inspection to maintain an historic record of applications for each address.
  • Transfer scanned applications for an upcoming ACC meeting to a list in agenda format and distribute applications and list to the committee members one week prior to the meeting.
  • Post the agenda as required.
  • Maintain the database of applications and record the ledger entry debit to the homeowner’s account for the damage deposit.
  • Prepare letters based on the decisions of the committee for the signature of the chairperson.
  • Post the minutes of the meeting as prepared by the committee as required.
  • Provide inspection forms to the committee that have been requested by applicants or are due for inspection.
  • Prepare letters notifying homeowners that their project is complete, and their deposit has been returned, or that the inspection was rejected and has been referred to the Compliance Officer for further action

Work Environment
The working environment will be mostly outdoors, with moderate noise level for Violations. The working environment will be mostly indoors with a mix or outdoors with relation to ACC job responsibilities. The position may require long periods of walking and/or sitting. Will be exposed to the outdoor climate.

The employee is occasionally required to sit, stand, reach, lift, bend, kneel, stoop, climb, push and pull items weighing 25 pounds or less. The position requires manual dexterity; auditory and visual skills; and the ability to follow written and oral instructions and procedures.

Position Type/Expected Hours of Work
This is a non-exempt position. Days and hours of work will be determine at property/location. This schedule may change to accommodate the business needs of the property.

Required Education and Experience

  • Prior experience as a CAM.
  • Preferred Education and Experience; a high school diploma or equivalent.
  • Previous experience with computers and software used in an office environment.
  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to other employees of the organization
