Colorado State University seeks a Service Excellence Clinical Coordinator to provide primary administrative support for small animal veterinary services. You will manage communications, records, and scheduling, while supporting clinicians, staff, and clients.

The role emphasizes client education, incident reporting support, and collaboration across service protocols to ensure efficient operations. Strong communication and veterinary terminology skills are essential.

Qualifications

• Bachelor’s degree in Health Care Management and Administration OR bachelor’s degree in another discipline with 5+ years of professional experience in client service.
• Two+ years of experience in the veterinary field.
• Two+ years of experience in customer service including direct client interaction and communication de-escalation.
• High level ability to retain large amounts of information for recall.
• Ability to answer multiple phone calls and communicate via multiple channels.
• Ability to read and understand medical terminology and relay information.
• Excellent verbal and written communication skills.
• Advanced computer operation skills; Microsoft Office Suite and medical/veterinary software.
• Ability to multi-task and cooperate with others.

Responsibilities

• Manage all administrative communications for assigned service areas, including client and referring veterinarian responses, visit information, records coordination, prescription refills, and appointment reminders.
• Oversee referral case processes, including triaging emergencies and scheduling needs, and resolving conflicts or missing records.
• Maintain voicemail and email accounts for assigned services and distribute information to clinicians, students, and staff.
• Provide client support through education, communication, grief protocol assistance, and comfort during visits.
• Assist with Incident Reporting investigations by gathering information and coordinating responses to committees.
• Collaborate on development and refinement of service protocols and clinic logistics.
• Work with financial services to process reductions and support other administrative needs.
