Position Purpose

The purpose of this position involves providing excellent customer care to our Petco full-service Vetco Total Care hospital clients. The Concierge represents the mission and values to all customers and is typically the first and last person a client encounters when entering our hospital. The Concierge is responsible for fostering cohesion and motivation within the practice.

All hospital partners are responsible for performing duties that create an environment where:

  • Contentious issues are dealt with and resolved promptly.
  • Exceptional teamwork and commitment to shared goals benefit the entire organization.
Essential Job Functions

The incumbent must be able to perform all the following duties and responsibilities with or without reasonable accommodation:

  • Answering the practice phone and routing calls appropriately.
  • Maintaining hospital appointment calendar, scheduling, and reviewing bookings.
  • Greeting visitors and clients by name, notifying staff of arrivals, and monitoring wait times.
  • Participating in training of new staff and knowledge dissemination.
  • Ensuring waiting area is clean, disinfected if necessary, and well-stocked.
  • Confirming appointments via client’s preferred communication method and making adjustments.
  • Providing backup support to technical staff for logistical needs.
Other Duties And Responsibilities

Perform additional duties as assigned.

Supervision

Direct supervision from the Hospital Office Manager and Hospital Leader on Duty.

Planning and Problem Solving

Ensure hospital workflow is optimized, reschedule appointments if needed, and communicate effectively with clients, especially during unforeseen circumstances. The role requires compassion, adaptability, and flexibility, especially when dealing with upset clients, balancing client satisfaction and medical staff focus.

Impact

This role contributes to the growth of the practice by ensuring high-quality care and positive first and last impressions of the hospital.

Supervisory Responsibility

No immediate supervisory duties.

Education/Experience
  • High school diploma required.
  • At least 1 year of experience in veterinary practice or a customer-facing role.
  • Excellent communication skills.
  • Compassionate, professional, and able to handle emotional situations.
  • Exceptional telephone and computer skills.
  • Team player willing to learn and adapt.
  • Preferred: Experience with Practice Management System.
Work Environment

Work conducted in the veterinary hospital, involving bending, kneeling, lifting up to 30 pounds, and standing for long periods. Frequent contact with clients and pets.
