Job summary

National Veterinary Associates in California is seeking a Chat Operator for our veterinary hospitals' CSR team. You will assist clients via chat or phone, maintain a calm, professional voice, and schedule appointments for multiple doctors and technicians.

Strong written and verbal communication is essential, with the ability to multitask, log accurate notes, and follow hospital policies. Remote-friendly, Saturdays required.

Qualifications

• Minimum of two years veterinary medical experience as an Assistant, Technician, or RVT.
• Must be able to work 40 hours/week.
• Experience with a multi-line phone system.
• Must be at least 18 years old, high school diploma, fluent in English (written and oral).
• Must be comfortable sitting and/or standing for long periods and able to operate computer and phone.
• Must be available to work one weekend day per week, and 2+ holidays per year.
• Must live within 3 hours of main hospital in Los Altos.

Responsibilities

• Offer genuine client service via chat or phone.
• Maintain a positive attitude with remote team, Adobe team members, and clients.
• Work as a team to provide the best customer service.
• Manage high volume chat system and assist with calls as needed.
• Schedule appointments for 20+ doctors across multiple locations and technicians for vaccines, nails, etc.
• Keep a professional phone/chat voice, interactive, calming.
• Record accurate notes in patient records and relay correct information.
• Review and transcribe doctor voicemail messages.
• Correct appointments and follow up on issues with team and managers.
• Contact clients for doctors or techs as needed and handle no-show rescheduling.
