Job summary

The Houston Zoo is seeking a detail-oriented Administrative Assistant for the Animal Health/Veterinary Clinic to manage medical data entry, inventory, invoicing, and reporting. You will maintain records, coordinate with vendors, support onboarding of students and interns, and help ensure regulatory compliance.

This full-time role requires a BA/BS and at least one year in veterinary or medical settings; you will work with the Director of Animal Health and veterinarians to ensure accurate

Qualifications

• Bachelor’s degree from a four-year college or university, or equivalent combination of education and experience.
• Minimum of one year of related experience in a veterinary or medical setting.

Responsibilities

• Performs accurate medical data entry for laboratory results, reports, vaccines, and details.
• Manages inventory including purchasing, receiving, distribution, and tracking of backordered items.
• Ensures accurate invoice processing and coding, coordinating with accounting for services rendered.
• Maintains vendor relationships and coordinates service agreements and purchases.
• Supports budget monitoring and reports on expenditures for projects and costs.
• Assists in onboarding incoming students, interns, residents, and guests.
• Maintains veterinary clinic records, safety protocols, and regulatory adherence.
