Job summary

Community Research Foundation (CRF) is seeking a Vendor Relations Specialist in San Diego to manage vendor relationships, bid processes, and contract records. The role emphasizes ensuring compliance, maintaining vendor files, and collaborating with business services to align terms and licenses.

Hours are 36 per week, Mon-Thu 8:30-17:00 and Fri 9:00-13:00, with comprehensive benefits including PTO, holidays, and loan repayment support.

Qualifications

  • 5 years of experience in general administrative role and 1 year in vendor relations.
  • Ability to pass criminal/background clearance.
  • Basic understanding of databases or tracking software.

Responsibilities

  • Initiate bid/quote process for services, supplies and equipment; consult with requestor to develop specifications; perform bid/quote analysis and make recommendations.
  • Conduct vendor background screening to ensure CRF policy compliance.
  • Collaborate with Director of Business Services to ensure terms, agreements, licenses and insurance are in order and approved.
  • Maintain vendor records including licenses, insurance certificates and quotes.
  • Build and maintain contract files, quotes and tracking sheets.
  • Maintain relationships with vendors to stay current with trends, products and services.
  • Design and execute verification and audit methods for vendor performance.

Description

Hours: 36 hours per week; Monday - Thursday, 8:30 am to 5:00 pm and Friday, 9:00 am to 1:00 pm

As a Vendor Relations Specialist, you will:

  • Initiate bid/quote process for services, supplies and equipment; consult with requestor to develop specifications; perform bid/quote analysis and make recommendations regarding purchases.
  • Conduct necessary vendor background screening to ensure compliance with CRF policy requirements.
  • In collaboration with the Director of Business Services, work with vendors to ensure terms and conditions, agreements, licenses and insurance are in order, reviewed and approved.
  • Maintain all relevant records as current; includes but not limited to vendor licenses, insurance certificates, statements of work, quotes, and proposals.
  • Build and maintain complete and accurate contract files, agreements, quotes and tracking sheets.
  • Maintain cooperative working relationships with vendors to stay current with trends and technologies, products and services.
  • Design and execute verification and audit methods suitable for verifying all aspects of proper performance of both parties to vendor contractual relationships.
  • 17 days of PTO per year; 12 paid holidays per year

Additional Qualifications and Skills

Summary

The Vendor Relations Specialist has primary responsibility for the administration of key vendor relationships, including those that are defined by contractual relationships with the company. This position is the foundation of risk management and provides meaningful review of invoices, prices, quotes and service data.
