Job summary

The Facilities Group, based in Tampa, FL, is seeking a Vendor Governance Coordinator to support its nationwide ISP network. You will manage onboarding, review contracts, ensure insurance coverage, and maintain vendor records.

You’ll act as a key liaison between vendors, operations teams, and internal stakeholders to reduce risk and improve efficiency. This in-office role requires strong organization, attention to detail, and the ability to juggle multiple priorities in a fast-paced environment.

Qualifications

  • Associate's or Bachelor's degree in Business Administration, Operations, Risk Management, Legal Studies, Supply Chain, or related field preferred; equivalent work experience may be considered.
  • Minimum of 2-3 years of experience in vendor management, compliance, contract administration, onboarding, insurance verification, risk management, or related administrative field preferred.
  • Knowledge of vendor onboarding, third-party risk management, insurance compliance, or facilities services operations is highly preferred.
  • Experience reviewing contracts, vendor agreements, insurance certificates, or compliance documentation is highly preferred.
  • Strong understanding of administrative processes, records management, and document control practices.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.

Responsibilities

  • Manage the end-to-end onboarding process for Independent Service Providers (ISPs) and maintain documentation.
  • Review contracts, agreements, and onboarding documentation for completeness and compliance.
  • Coordinate and monitor vendor insurance compliance across all brands and subsidiaries.
  • Serve as primary contact for vendor compliance, insurance, and onboarding inquiries.
  • Maintain accurate vendor records, certifications, and contractual files.
  • Partner with Operations, Vendor Relations, Client Success Teams, Brand Leadership, and brokers to facilitate activation and ongoing compliance.
  • Conduct routine audits of vendor documentation and monitor renewal requirements.
  • Track onboarding metrics and generate reports on compliance and vendor performance.
  • Manage multiple projects and deadlines with high accuracy.
  • Support special projects and compliance initiatives as assigned.

What You Will Be Doing

As a Vendor Governance Coordinator, you will play a critical role in supporting The Facilities Group's nationwide network of Independent Service Providers (ISPs) by ensuring vendors meet established onboarding, compliance, insurance, and contractual requirements. You will serve as a key liaison between vendors, operations teams, insurance brokers, and internal stakeholders, helping to maintain accurate records, reduce organizational risk, and drive operational efficiency. Through process management, compliance monitoring, reporting, and relationship coordination, you will help ensure our vendor network remains qualified, compliant, and prepared to deliver best-in-class service. This role is ideal for a highly organized professional who thrives in a fast-paced environment and enjoys balancing administrative, analytical, and relationship-focused responsibilities.

This position is in-office based out of our office in Tampa, FL.

  • Manage the end-to-end onboarding process for Independent Service Providers (ISPs), ensuring all required documentation, agreements, and supporting materials are received, reviewed, and properly maintained.
  • Review contracts, agreements, and onboarding documentation for completeness, accuracy, and compliance with organizational standards.
  • Coordinate and monitor vendor insurance compliance, ensuring coverage requirements are met and maintained across all TFG brands and subsidiaries.
  • Serve as the primary point of contact for vendor compliance, insurance, and onboarding inquiries, providing timely support and resolution.
  • Maintain accurate vendor records, certifications, insurance documentation, and contractual files within designated systems and databases.
  • Partner with Operations, Vendor Relations, Client Success Teams, Brand Leadership, insurance brokers, and external stakeholders to facilitate vendor activation and ongoing compliance.
  • Conduct routine audits of vendor documentation to identify gaps, inaccuracies, expired documents, or compliance concerns.
  • Monitor compliance deadlines and proactively communicate renewal requirements related to insurance certificates, agreements, and vendor credentials.
  • Track vendor onboarding metrics and compliance performance to support organizational reporting and risk management initiatives.
  • Prepare and distribute reports related to onboarding activity, compliance status, insurance coverage, documentation deficiencies, and vendor performance trends.
  • Manage multiple projects, priorities, and deadlines while maintaining a high level of accuracy and attention to detail.
  • Support special projects, compliance initiatives, and other related duties as assigned.
Requirements & Qualifications
