The role includes reconciling cash reports, coordinating with vendors, inputting data into the VMS and Lawson systems, handling invoices, maintaining asset records, payroll data, and responding to inquiries while upholding confidentiality.

Qualifications

• General experience: 1 year progressively responsible clerical or office work demonstrating ability to perform satisfactorily.
• Specialized experience: 1 year clerical/administrative support or related duties demonstrating ability to perform the job.
• Substitution: 1-2 years of post-high‑school study may substitute for each 6 months of general and 1 year specialized experience.

Responsibilities

• Receives and reconciles cash reports; verifies credit card uploads and inputs corrections in the system.
• Ensures contracted vendors submit reconciliation forms and balances data in VMS.
• Reviews vendor invoices for cost accuracy and updates the VMS system.
• Prepares monthly Vending/Micro Market reports, including gross profit, inventory, and journal entries.
• Processes Lawson requisitions and acts as a Purchase Card holder.
• Receives equipment in Lawson and updates VMS with fixed asset numbers.
• Enters information into VMS for Micro Market vendors and vending data.
• Manages customer service calls and emails, logs calls in VMS, and follows up with contractors.
• Maintains payroll/time cards and Sub-Custody Change Fund documents.
