Job summary

The Harris Center for Mental Health and IDD is seeking a Unit Support, part-time, at our Emancipation Center in Houston. Under supervision of the Clinical Team Leader or Program Director, you will assist licensed clinical staff by handling phones, chart setup, data entry, and document organization to support daily operations.

Responsibilities include maintaining patient records, updating demographics, generating daily census, and ensuring essential forms and notary services are available.

Qualifications

  • High school diploma or GED required.
  • Minimum 1 year clerical/receptionist experience.
  • Knowledge of general office equipment and basic applications; strong written and verbal communication; good time management; bilingual preferred.

Responsibilities

  • Answer phones professionally and direct calls to appropriate staff.
  • Set up/maintain consumer medical records and charts; enter information into applications.
  • Generate daily unit census and maintain consumer logs and census board.
  • Open/close consumer assignments in the system for admissions and discharges.
  • Assist licensed clinical staff with chart retrieval, supplies, and notary services.

The Harris Center for Mental Health and IDD (“The HARRIS CENTER”) is looking for a Unit Support Part time to embark on a rewarding healthcare career at our Emancipation Center! Under the direction of the Clinical Team Leader or Program Director, this position is responsible for assisting the licensed clinical staff with answering phones, directing calls to appropriate staff, setting up working charts/pulling charts, enter client information into appropriate software applications, entering demographic information, opening/closing assignments, notarizing and organizing court papers, entering discharge summaries, and performing related work as assigned.

Your Role in Action:
  • Answers phone in a timely and professional manner, noting necessary information, and directing calls
    and information to the appropriate staff.
  • Sets up/maintains/organizes consumer’s medical record (including entering information to generateand print chart labels).
  • Enters consumer information into appropriate application.
  • Enters demographic into appropriate application to create an initial face sheet for specific consumers.
  • Generates and maintains a daily unit census (including maintaining consumer logs and census board).
  • Opens/closes consumer assignments in the system when the consumer is admitted/discharged
  • Responds in a timely and professional manner to requests from licensed clinical staff (i.e. pulling charts, getting supplies/forms, etc).
  • Supplies the unit and dock with the most current consumer and administrative forms.
  • Completes applicable tasks assigned by Clinical Team Leader/Charge Nurse/Charge Nurse designeein a timely manner.
  • Enters consumer name/information in the log and on the board in a timely manner.
  • Generates/produces requested reports, documents or forms.
  • Obtains charts from medical records and enters discharge summaries in computer.
  • Organizes/assists with court papers and provides notary service as needed for clinical staff.
  • Monitors fax machines, ensures documents are given to the appropriate staff.
  • Faxes and copies documents as requested by licensed clinical staff.
  • Maintains Missing Person File and consumer informational handouts.
  • Performs related work as assigned. Adapts to changing work requirements. Flexible to meet the
    ongoing needs of the agency.
What qualifications will you need:
Education :
  • High School Diploma or General Education diploma.
Experience:
  • Minimum of 1 year clerical/receptionist experience.
Required Knowledge, Skills & Abilities:
  • Knowledge of general office equipment (telephone, fax, copier).
  • Knowledge of basic office computer applications and hardware.
  • Ability to communicate effectively (both oral and written) with staff and the people we serve.
  • Demonstrate strong time management skills and able to multitask.
  • Bilingual preferred.
