Qualifications

  • Perform timekeeping duties for hourly staff and liaise with Payroll.
  • Support Division initiatives and special projects as needed.

Position Description

The Business Office in the Division of Student Affairs is seeking to hire a Unit Specialist II (Human Resources and Finance) to support the University Housing and Resident Experience (UHRE) department. The Unit Specialist provides vital administrative and financial support to ensure efficient daily business operations for UHRE and the Student Affairs Business Office. This position performs all UHRE payroll functions including processing payroll for over 150 professional staff and student workers, onboarding professional staff and student workers, providing recruitment and training coordination support, and managing all procard functions for the department. The Unit Specialist also assists in preparing budgetary and financial reports and manages all financial aid processing and serves as the back-up to perform all travel arrangement duties for UHRE.

Essential Duties and Responsibilities
  • Ensures all financial procedures are carried out accordingly and provide administrative support and guidance to the UHRE finance team
  • Assists the Director, Associate Director, and Business Manager with administrative and financial functions, including preparation of budgetary and financial reports
  • Submits office supply and equipment orders from the University stockroom and contracted vendors, ensuring inventory is consistently adequate
  • Manages department procards including facilitating usage, reallocating charges, and reconciling bank statements
  • Serves as the back-up for travel business functions including booking travel and submitting expense reimbursements
  • Manages all financial aid processing for UHRE including reconciliation
  • Hire and onboard all UHRE student workers in Workday HRIS system (approx 120+ annually) and provides recruitment and training coordination support
  • Performs timekeeping duties for UHRE hourly staff to ensure accurate and timely employee time submittal and timely supervisor approval, and coordinates communication with supervisors and Payroll regarding time and payroll processing
  • Participates to assist with the execution of Division initiatives such as freshman orientation, Welcome Week, and resident move-in events
  • Performs additional duties and completes special projects as assigned
Preferred Qualifications
  • Five (5) years of related work experience such as office management, drafting documents and spreadsheets, preparing reports, supervising student workers, purchasing office inventory, timekeeping, and processing travel and expenses
  • Familiarity with University processes and protocol
  • Proficient using Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint)
Work Hours and Location

This is a full-time, exempt position with a 37.5-hour regular workweek including occasional evening and weekend hours as required. Additional work hours may be required based on department needs, programming, staffing, and/or scheduling. The primary work location for this position is at the Belknap Campus.
