Job summary

IU Health Bloomington is seeking an Emergency Department Unit Secretary to provide administrative and communications support in a fast-paced Level III Trauma Center. You will act as the central hub for physicians, nurses, EMS, patients, and visitors, ensuring smooth workflow and accurate documentation.

Key duties include handling calls, coordinating trauma activations and alerts, and maintaining records while upholding confidentiality and compliance.

Qualifications

  • High School Diploma or GED required.
  • Completion of Medical Assistant, Medical Secretary classes, or equivalent experience preferred.
  • Basic Life Support (BLS) certification through the AHA preferred.
  • 1-3 years of relevant experience in a health care setting preferred.
  • Basic knowledge of medical terminology preferred.
  • Must be able to complete required (if applicable) training program.
  • Requires basic proficiency in MS Office (Word, PowerPoint, Excel).

Responsibilities

  • Manage and prioritize incoming phone calls, emergency notifications, and department communications.
  • Facilitate communication between the care team, ancillary departments, inpatient units, EMS, and external agencies.
  • Monitor department tracking systems and assist with patient flow activities.
  • Prepare and maintain patient records, forms, and department documentation.
  • Coordinate trauma activations, STEMI alerts, stroke alerts, and other emergency notifications according to established protocols.
  • Assist patients, families, and visitors with information and wayfinding while maintaining confidentiality.
  • Support compliance with regulatory, hospital, and departmental policies and procedures.

Job Description:

The Emergency Department Unit Secretary provides administrative and communication support to ensure safe, efficient patient care in a fast-paced Level III Trauma Center. This role serves as a central communication hub for the department, supporting physicians, nurses, ancillary departments, EMS, patients, and visitors while maintaining accurate documentation and facilitating patient flow.
