  • Position Summary

The Tutoring and Academic Coaching Services Coordinator supports student achievement and persistence by leading the daily operations of tutoring and academic coaching services at Chaminade University. This role is responsible for recruiting, training, and supervising a team of peer and professional Tutors and Academic Coaches, managing appointment systems, promoting an inclusive and student-centered learning environment, and collaborating with campus partners to ensure services align with student needs. The Coordinator also contributes to broader student success and retention initiatives, particularly those supporting at-promise student populations.

  • Essential Duties and Responsibilities
  • Tutoring and Academic Coaching Program Duties (45%)
    • Recruit, interview, and hire qualified tutors and academic coaches based on academic demand and subject coverage across all schools, ensuring ongoing support for undergraduate, graduate, and doctoral students.
    • Facilitate structured onboarding and lead semesterly training on tutoring and academic coaching best practices, inclusive learning strategies, session planning, and effective communication/collaboration.
    • Provide consistent professional development through staff-led workshops, rotating facilitation opportunities, and individualized conversations.
    • Conduct regular one-on-one check-ins with tutors and academic coaches to review progress, set goals, and address any performance concerns.
    • Reinforce a standardized session structure that begins with goal-setting and ends with clear next steps to promote student clarity and confidence.
    • Oversee the day-to-day logistics of tutoring and academic coaching services, ensuring the smooth operation of both in-person and online services, including serving as the campus administrator for the Reservio and Tutor.com platforms in conjunction with the Accessibility Services Coordinator and the Career Pathway and Success Coach.
    • Manage appointment scheduling using Reservio and Google Calendar—assigning sessions, confirming course alignment, and updating session statuses.
    • Coordinate online sessions using Google Meet; send calendar invitations and ensure proper access using official university email accounts.
    • Maintain an inclusive and supportive center environment by organizing shared spaces, managing supplies, and applying accessibility considerations such as soft lighting and music.
    • Review post-session survey feedback to assess service quality and inform individualized development plans for tutors and academic coaches.
    • Compile and process usage data weekly from Reservio and Tutor.com; clean and enter data into master spreadsheets to track attendance patterns and high-demand subject areas.
    • Share usage and trend reports with the Career Pathway and Success Coach and Director of Inclusive Excellence and Academic Success to inform recruitment, training priorities, and operational adjustments.
  • Success and Retention Duties (25%)
    • Meet one-on-one with students to offer tutoring and/or academic coaching in areas such as course content, study strategies, SMART goals, and academic planning.
    • Monitor student performance trends and proactively reach out to those demonstrating signs of academic difficulty to offer targeted support.
    • Collaborate with academic advisors, the Accessibility Services Coordinator, the Career Pathway and Success Coach, and other campus partners to develop and coordinate individualized support strategies.
    • Use the Stellic platform to track student interactions and facilitate referrals to appropriate people, programs, and services.
    • Create and maintain educational materials for faculty, staff, students, and other campus partners that promote academic skill development and self-regulated learning.
    • Support institutional retention and persistence initiatives, including programming tailored to Apo Haumāna and other specialized student populations.
  • Outreach and Engagement Duties (20%)
    • Develop and implement outreach strategies aligned with the Kōkua ʻIke strategic plan to promote tutoring and academic coaching services.
    • Represent tutoring and academic coaching services at campus events such as New Student Orientation and yield or recruitment programming.
    • Collaborate with faculty and departments to introduce tutoring and academic coaching in high-demand courses and academic programs.
    • Co-facilitate workshops and presentations with academic advisors and Office of Student Success staff on topics related to academic success strategies
    • Maintain professional, responsive communication with faculty, staff, students, and other campus partners to promote trust and service awareness.
    • Partner with campus stakeholders to create and distribute co-branded resources that encourage learning development and academic assistance-seeking behaviors.
  • Academic Ceremonies (5%)
    • Provide logistical and administrative support for official academic ceremonies such as commencements, convocations, and award events. Responsibilities may include coordinating event setup, preparing materials and signage, managing guest lists, assisting with regalia distribution, and serving as on-site support during ceremonies to ensure events run smoothly and in accordance with institutional protocols.

  • Education and Experience
  • Minimum
    • Bachelor’s degree in counseling, education, psychology, or a closely related field
    • Demonstrated ability to communicate and collaborate effectively with others
    • Demonstrated ability to manage multiple priorities and deadlines
    • Proficiency or familiarity with digital design tools (e.g., Canva); Google products (e.g., Docs, Sheets, and Slides); and Microsoft products
    • Commitment to equity-minded, inclusive, and student-centered services within a collaborative campus environment
  • Preferred
    • Master’s degree in counseling, education, psychology, or a closely related field
    • Experience with tutoring, academic coaching, or student success initiatives in a K-12 or higher education setting
    • Experience working with Asian American, Pacific Islander, and local Hawai‘i student populations
    • Proficiency or familiarity with Reservio (or similar platforms) and Stellic (or similar platforms)
  • Physical Requirements

This position may involve light physical activity in both indoor and outdoor settings. Successful candidates should be comfortable alternating between standing and sitting, as well as navigating stairs and sloped walkways. They should also be comfortable lifting and carrying up to 20 pounds. Strong motor skills and clear, effective communication are essential.

  • Other Requirements
  • This is a full-time, non-exempt employment position. The standard work schedule is forty (40) hours per week. However, depending on departmental needs, occasional early morning, evening, or weekend work may be required. Flexibility and a willingness to adapt to a varied schedule are essential.
