Our client is a boutique, close-knit Trusts & Estates planning firm serving high-net-worth individuals and families with complex, multigenerational wealth transfer needs. Our practice is built on personalized service, thoughtful planning, and meaningful, long-term client relationships.
We are seeking an experienced Trusts & Estates Paralegal to join our team. This is an opportunity to take on substantive estate planning and trust administration work, work directly with firm partners, and build trusted relationships with clients. The ideal candidate is technically strong, detail-oriented, and comfortable taking ownership of matters in a collaborative environment where individual contributions have a direct impact on the practice.
Key Responsibilities
- Draft wills, revocable and irrevocable trusts, powers of attorney, healthcare directives, and related estate planning documents under attorney supervision.
- Prepare trust amendments, restatements, and other supporting legal documents.
- Review and proofread complex legal documents for accuracy, consistency, and completeness.
- Coordinate document execution logistics, including scheduling signing appointments and arranging notarization and witnessing.
Trust Funding & Asset Transfers
- Prepare trust funding documents, including asset transfer and beneficiary designation forms, deeds, and assessor documentation.
- Coordinate with financial institutions, title companies, and other relevant parties to facilitate trust funding and asset transfers.
- Track outstanding funding requirements and maintain accurate records of completed and pending transfers.
Trust & Probate Administration
- Prepare trust accountings, statutory notices, and other trust administration documents.
- Support trust and probate administration matters, including preparing documentation and coordinating California probate court filings as applicable.
- Track deadlines, maintain organized matter files, and ensure required documentation is completed accurately and on time.
- Coordinate with attorneys, trustees, beneficiaries, financial advisors, and other professionals throughout the administration process.
Client Relations & Case Management
- Serve as a trusted point of contact for clients, providing responsive, professional communication throughout the estate planning and administration process.
- Gather client information, coordinate document requests, and follow up on outstanding items to keep matters moving forward.
- Manage case files, calendars, deadlines, and execution logistics with a high degree of independence.
- Anticipate next steps, identify potential issues, and proactively communicate updates to attorneys and clients.
- Handle sensitive personal, financial, and family information with discretion and confidentiality.
Skills & Qualifications
- Solid, demonstrated experience as a paralegal in Trusts & Estates law.
- Practical experience with both estate planning and trust administration; probate administration experience is strongly preferred.
- Strong technical drafting skills and exceptional attention to detail when preparing complex, high-stakes legal documents.
- Familiarity with trust funding, asset transfers, trust accountings, statutory notices, and related documentation.
- Excellent client-facing communication skills, with the confidence and professionalism to serve as a trusted point of contact rather than solely a document preparer.
- Strong organizational and time-management skills, with the ability to manage multiple matters and competing deadlines.
- A self-starter who thrives with autonomy, takes ownership of case management, and proactively drives matters toward completion.
- Sound judgment, professionalism, and a commitment to maintaining confidentiality and delivering high-quality work.
Preferred Qualifications
- Active Notary Public commission.
