Visa Hunt is seeking a Trust Administrator to support the day-to-day administration of Trusts and Companies, ensuring timely maintenance of client records and compliance with relevant regulations.

Under supervision, you will draft minutes and correspondence, review bank statements, and ensure client assets are identified and allocated correctly, while maintaining accuracy and adherence to regulatory obligations.

Job description

Job Purpose:

The Trust Administrator will assist the team by completing the day to day administration of Trusts and Companies in respect of those entities assigned or as required to them, in order to meet objectives with respect to time utilisation by the maintenance of clients' records.

The ATA / TA will take pride to fulfil the role by administering a portfolio of clients and will be expected to know the affairs of those clients. With guidance and support from their supervisor or manager, will maintain the files differentiating between correspondence, accounting records, important and permanent documents as required for each of their cases. This will also include drafting of minutes and correspondence, maintain client due diligence and ensuring that client funds are at all times managed effectively and efficiently and that financial transactions are undertaken with the utmost attention to accuracy and detail.

The ATA / TA will ensure Companies and Trusts under administration are meeting their statutory obligations and requirements by having a good understanding of all relevant laws, orders and regulations in force governing that type of business.

Summary of responsibilities:
  • To prepare correspondence (emails, file notes/memos and letters) in accordance with house style, ensuring 4 eyes review where appropriate and if binding the Company.
  • To prepare minutes for both Trusts and Companies as required.
  • To be able to answer and handle external telephone calls with confidence, take messages and pass them on to relevant personnel.
  • To understand the fundamentals and basic techniques of trust administration, book-keeping and record keeping.
  • To review bank statements to ensure Payment Requisition Forms and Incoming Funds Forms have been prepared.
  • With appropriate guidance from your supervisor, to ensure all client assets are correctly identified and allocated under the full control and discretion of the Trustees or Company as relevant.
  • To possess a good knowledge of customer products and processes to deal with basic queries, referring upwards as appropriate in relation to non-standard queries.
Skills, knowledge and attributes:
  • To be willing to embark on or hold an appropriate professional qualification in accordance with table 5 or the Trust and Company Business Codes of Practice to qualify as a Category C employee.
  • Ability to demonstrate good inter-personal communication and relationship skills, both orally and in the written word.
  • Ability to work in a team is essential as well as being pro-active in assisting with process streamlining and improvements.
  • Good clerical and business acumen skills to be able to undertake all duties with integrity and diligence.

Ability to demonstrate a good knowledge of offshore financial services and the regulatory environment.
