Job summary

FIRST STATE BANK & TRUST in Williston, ND is seeking a Trust Admin Assistant to join the Trust Department. The role requires confidentiality, attention to detail, and professionalism as you support operations, maintain files, and back up other staff.

Typical hours are 8:00 AM to 5:00 PM, Monday through Friday. You will handle phones, client communications, document scanning, prepare distributions, assist with annual reviews, and support Trust Officers with research and client meetings.

Qualifications

  • Minimum High School Diploma or equivalent.
  • Strong organization and multi-tasking abilities with attention to detail.
  • Good oral and written communication and teamwork.
  • Proficient with computer software including Office 365, Excel, and Word.
  • Accounting or bookkeeping background helpful.

Responsibilities

  • Answer phones professionally and greet clients.
  • Scan/archive documents and distribute tax forms.
  • Assist with scheduling for Trust Officers and mailings.
  • Support annual account reviews and client meetings.
  • Research unclaimed property with the State of North Dakota.
  • Perform general office duties and back up staff.

Reporting Relationships: Trust Administration

Type of Position: Full time; Hours 8:00 AM -5:00 PM M-F; Occasional evening/weekend work may be required – Some travel may be required

General Summary

This position requires a high level of confidentiality and attention to detail. The Admin Assistant will help with operations in all areas of the Trust Department. Maintaining files, scanning documentation, back up for other office personnel, secretarial duties as well as other duties as assigned. Accuracy, professionalism, and confidentiality are of utmost importance.

Essential Duties and Responsibilities:
  • Answer phones quickly using proper and professional phone etiquette. Greeting customers in person, making them feel welcome and directing them to the appropriate personnel.
  • Office duties such as scanning/archiving file documents, assisting with distributing tax forms to clients during tax season, making appointments for Trust Officers, creating/distributing correspondence with employees and clients.
  • Assisting Trust Officers/Administration with researching projects, problems, questions, etc.
  • Assisting with annual account reviews.
  • Assisting with Farm inspections, Real Estate and Minerals.
  • Receiving and reviewing client mail, paying bills as necessary.
  • Preparing distribution calculations.
  • Research any outstanding Unclaimed Property with the State of North Dakota.
  • Assisting with client meetings, both in person and electronically.
  • Willing to accept other duties as assigned.
Qualifications
Knowledge, Skills and Abilities Required:
  • Minimum High School Diploma or equivalent.
  • Organization skills, multi-tasked oriented and possess attention to detail to curtail errors. Must be able to work under pressure and meet deadlines with multiple interruptions.
  • Good oral and written communication skills, ability to learn quickly and to work as a team player and enjoy working with people.
  • Proficient with computer/ten key skills, Office 365 applications, Excel and Microsoft Word.
  • General knowledge of accounting or bookkeeping background helpful.
  • When visiting with clients and general public, listen for opportunities to sell and cross sell services provided by the Bank.
  • Maintain public profile by being involved in community and bank organizations and events.
  • Obtain a general knowledge of the trust business and functions of the operations of the trust department.
  • Good oral and written communication skills, ability to learn quickly and to work as a team player.
  • Basic calculator skills, office machine usage. Experience using Microsoft Office Suites.
  • Strong ethics in protecting confidentiality of client records.
