Job Description
PRIMARY RESPONSIBILITIES

Primarily responsible for ensuring patients understand and schedule for necessary treatment. Other responsibilities include coordinating communications between doctors and patients, helping to build and maintain a doctor/hygiene schedule, assisting with patient inquiries including insurance questions, organizing and presenting patient treatment plans with financial obligations, and obtaining patient agreement. May also be required to assist with general front office duties.

SPECIFIC DUTIES
Consultation Management
  • Conduct patient consultations
  • Calculate fees for treatment based on various fee schedules
  • Assist patients with financing options, insurance questions, and treatment concerns
  • Maintain and use tickler files and delayed treatment files
  • Notify patients when pre-estimates come back and schedule appointments after financial arrangements
  • Prepare treatment consent forms, including surgical, endodontic, and general consents
  • Record chart entries from conversations when appropriate
  • Manage doctor charts for treatment plans, conferences, and communications
  • Prepare financial treatment plans and present options to patients
  • Assist with consultation appointments as directed by the doctor
  • Make all financial arrangements with the patient after the doctor leaves the consultation room
Patient Management
  • Set up appointments with specialists or general dentists and coordinate with their offices
  • Ensure accurate status tracking of patients within the system
  • Schedule treatment after specialist or dentist completes their work
  • Handle questions from patients or other dentists about treatment
  • Meet with the doctor daily to review schedules and important information
Insurance
  • Update insurance information regularly
  • Organize materials for insurance claims
  • Assist with posting correct treatment codes for billing
  • Verify patient benefits and treatment history as needed
Inventory Management
  • Monitor dental office equipment to ensure proper functioning
Office Participation
  • Participate actively in staff meetings
  • Perform other tasks as assigned by the office manager
Education/Experience
PERSONNEL REQUIREMENTS
  • High school diploma
  • Legible handwriting
  • Knowledge of Dental Software is a plus
  • Office experience desired
Interpersonal Skills
  • Good interpersonal skills for rapport with patients and staff
  • Effective verbal communication
  • Team player
  • Adaptability to office policy improvements
  • Conflict resolution experience
  • Customer service or patient relations experience
  • Quick response and accurate data entry
  • Communicate concerns to Office Manager
