Job Summary

JOB SUMMARY
Responsible for collection, abstraction, and data entry of trauma patient information in the NTRACS Trauma Registry of Vanderbilt University Medical Center. Identified and performs data collection, abstraction and entry of all trauma patients accurately. Assigns all ICD10CM, ICD10PCS and AIS codes in to the Trauma Registry. Supports the registry requirements for verification as a Level 1 Trauma Center by the State of Tennessee, National Trauma Data Bank (NTDB), Trauma Quality Improvement Program (TQTIP) and America College of Surgeons Committee on Trauma (ACS). Responsible for complete abstraction for a patient’s pre-hospital care, ED summary, diagnosis, procedures and discharge information.

We are seeking a detail-oriented Trauma Registrar to support our Trauma Program by accurately collecting, reviewing, and maintaining trauma patient data in accordance with state and national registry requirements.

Key Responsibilities

• Abstract and enter trauma patient data into the trauma registry.

• Assign and validate ICD-10 codes and other required injury-related data elements.

• Collaborate with clinical teams to ensure high-quality trauma data for performance improvement and regulatory reporting.

Required Qualifications

• Experience with medical record review, data abstraction, and medical terminology.

• Knowledge of ICD-10 coding and healthcare documentation standards.

• Strong computer skills and attention to detail.

Preferred Qualifications

• AIS (Abbreviated Injury Scale) training and/or certification.

• Knowledge of anatomy and physiology.

• Experience using Epic electronic medical record (EMR) systems.

• Previous trauma registry or trauma program experience.

Work Schedule & Location

• Monday - Friday during standard business hours

• Full-time, 40 hours per week

• Anticipated start date: October 2026

This position is ideal for a healthcare professional with strong analytical skills, coding knowledge, and a passion for supporting quality patient care through accurate trauma data management.

KEY RESPONSIBILITIES

• Collection/abstraction of 300+ data points and entry into the NTRACS Trauma Registry database on all trauma patients admitted to VUMC and MCJCH as a Level I Trauma Center.
• Data Management- data integrity, reports and data presentation
• Anatomy and Conditions of Injury
• Coding and Scoring Concepts
• Registry- NTDB, State(s), and internal registry
• Communicates with department staff including physicians, managers, nursing staff, process improvements and research coordinators. Participates in validation of 5-10% of Registry data entry, tracks inconsistencies, and educates co-workers as needed.
• Maintains knowledge of current trends and developments by participating in:
• Taking monthly TQIP quizzes and reports
• TQIP Open Forum webinars.
• Participates in registry specific coursework and continuing education courses per year, and meetings and activities.
• Data Entry and Reporting
• Abstracts data and performs data entry by determining appropriateness of patient entry, within timelines of quality measures (=/>95) and discharge requirements.
• Codes diagnoses and hospital procedures ICD10 and enters into Trauma Registry
• Submits trauma data to registry and databank and various Level 1 Trauma centers.
