Qualifications

  • Experience with ERP systems (Kuali or similar).
  • 4+ years of staff supervision.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
  • Experience developing budgets and charge-out rates in transportation/fleet management.

  • Manage expenditures for equipment, tools, repairs, and related needs.
  • Oversee parts inventory and fleet management systems for fuel tracking, work orders, billing, reporting.
  • Analyze vehicle needs and enforce fleet standards to improve efficiency and sustainability.
  • Provide direction, training, coaching, and performance feedback to a customer-focused team.
  • Collaborate with departments to support university mission; seek external partnerships to optimize revenue.

Job description

Position Summary

This position is a Fleet Management professional that currently leads a team of 20, with 2 direct supervisor reports and a seasonal team of student staff. The position operates two maintenance facilities on separate campuses along with a customer service office, a parts department, and onsite fueling. This position will also contribute to planning efforts and develop annual operating budgets for Fleet Services in support of departmental and university objectives under the direction of the Director of Active Transportation. Essential Duties
  • Manage day-to-day fleet operations for the University’s vehicle fleet (approximately 800 units), including coordinating vehicle purchases, leasing activities, rental reservations, and vehicle replacement/disposition processes.
  • Oversee Fleet Services operational units, including administration, maintenance, parts warehouse, vehicle rentals, shuttle operations, and charter bus service by establishing operational priorities, managing staffing and resources, and ensuring compliance with University policies and procedures.
  • Manage operational expenditures for equipment, tools, facility repairs, and fleet-related needs to support a safe, efficient, and reliable operation.
  • Oversee parts inventory processes and implement fleet management systems for fuel tracking, work orders, billing, and operational reporting.
  • Oversee fleet utilization and resource management by analyzing vehicle needs, enforcing fleet standards, and recommending or coordinating the reduction, reassignment, or disposal of underutilized or oversized vehicles to support operational efficiency and sustainability goals.
  • Supervise, support, and develop a customer-focused team by providing direction, training, coaching, and performance feedback to promote effective service delivery.
  • Collaborate with departments and colleges to support the mission of the university.
  • Seek external partnerships to optimize revenue generation for Fleet Services.
  • Other related duties as assigned.
Conditions of Employment

Pre-employment Criminal Background Check (required for new hires). (MVR) Motor Vehicle Background check. Valid Drivers License. Certified Automotive Fleet Manager (CAFM) accreditation at time of hire, or successful attainment of CAFM certification within 24 months of appointment. Applicants must be able to work in the United States without the need for Work Visa.

Supervision

This position is responsible for the direct supervision of 2 full-time state classified positions (LTC Operator II and Program Coordinator), oversight of 15 additional full-time state classified positions (4 technicians, 4 full-time/5 part-time bus drivers, 2 material handlers), 2 shuttle drivers (Administrative Professionals) and seasonal student employees.

Minimum Qualifications
  • Bachelor’s degree from an accredited college or university.
  • 5 + years of progressive fleet management experience in a university or government setting.
  • Demonstrated experience using fleet management software to support fleet operations.
  • At least 5 years of experience providing customer or service support to internal and external stakeholders, including staff, students, vendors, and/or the public.
  • Experience using enterprise resource planning (ERP) systems for requisitioning, payroll, or financial management, including Kuali or comparable university or government financial systems.
  • Demonstrated leadership skills with at least 4 years of staff supervision.
  • Demonstrated experience using Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams) in a professional or operational setting.
  • Experience developing budgets and charge-out rates in a transportation or fleet management setting.
Preferred Qualifications
  • 10 years of experience providing customer or service support to internal and external stakeholders, including staff, students, vendors, and/or the public.
  • Demonstrated proficiency in Assetworks and/or Agile Fleet.
  • Experience with vehicle rental operations.
  • Experience with fleet financial analysis costs such as labor, fuel, maintenance, parts, overhead, insurance, commercial work to formulate vehicle rental, mileage, and shop rates.
  • Experience in interpreting and applying applicable department, University, state, and federal rules and regulations such as: Federal Motor Carrier Safety Regulations, Federal Commercial Driver's License requirements, Federal EPA requirements, Federal OSHA requirements, State Vehicle Emissions laws, state vehicle registration and title requirements, State and County health regulations, State Fiscal Rules and insurance requirements, University policies and procedures.
  • Demonstrated experience optimizing Fleet to achieve organizational sustainability targets (i.e. Climate action plans, AASHE STARTS, electrification of fleet and maximizing operational efficiencies).
Salary Range

$90,000 - $110,000
