Job summary

Responsibilities

  • Obtain, evaluate, and compare transportation and rigging quotes across modes.
  • Coordinate with providers to confirm scope, scheduling, pricing, and service expectations; escalate issues as needed.
  • Assess internal vs. external resources to fulfill transportation and rigging requirements.
  • Identify and communicate issues that may affect schedules, budgets, or timelines, and help develop alternatives.
  • Monitor shipments and maintain transportation schedules for internal and external resources.
  • Coordinate timely transport to installation sites based on project schedules.
  • Maintain transportation and rigging documentation and enter data into ERP systems.
  • Track costs, vendor quotes, and related operational information for project cost management.

Position Summary and Objectives:

The Transportation and Rigging Coordinator is responsible for coordinating transportation, delivery, and rigging of medical equipment, materials, and other resources required to support field installation processes. This position coordinates with internal departments, field personnel, transportation providers, rigging companies, and other vendors to ensure resources are scheduled, transported, and delivered safely, efficiently, and in accordance with project and customer requirements.

Essential Position Functions:
  • Obtain, compare, and evaluate transportation and rigging quotes, including road transportation, LTL, FTL, white-glove services, and specialized rigging services.
  • Coordinate with transportation, rigging, and other service providers to confirm scope of work, scheduling, delivery requirements, pricing, and service expectations; escalat​e vendor performance or service issues as appropriate.
  • Evaluate logistical, operational, and cost considerations and determine, within established guidelines, whether transportation and rigging requirements should be fulfilled through internal resources or external vendors.
  • Identify and proactively communicate transportation, vendor, scheduling, delivery, or resource issues that may affect installation schedules, customer commitments, project timelines, or operational costs, and assist in developing alternative solutions.
  • Monitor and track shipments, ensuring seamless deliveries.
  • Develop and maintain transportation and rigging schedules for internal and external resources based on project requirements, equipment availability, vendor capacity, and delivery timelines.
  • Coordinate the timely transportation and delivery of equipment, materials, parts, and other resources to installation sites based on project schedules and operational requirements.
  • Coordinate resources and information flow for upcoming installation projects with internal departments.
  • Coordinate transportation requests from internal departments and external customers.
  • Collect, review, organize, and maintain transportation and delivery documentation, including bills of lading, delivery receipts, proof‑of‑delivery documentation, and other required records; verify accuracy and enter or upload information into the ERP system.
  • Maintain appropriate records of transportation and rigging costs, vendor quotes, and related operational information to support project tracking and cost management.
  • Troubleshoot any relevant issues and search for alternative solutions.
  • Proactively keep management and other coordination teams informed, especially of any challenges that could impact the projects.
  • Perform general administrative functions related to position.
  • Maintain the confidentiality of company, employee, customer, and business information and exercise appropriate discretion in handling confidential matters.
  • Follow applicable company policies, procedures, business processes, quality and safety requirements.
  • Demonstrate and promote company values and contribute positively to team and organizational objectives.
  • Perform other duties and responsibilities as assigned or required to support business operations.
Competency Requirements:
  • High school diploma or equivalent.
  • Two or more years of experience in transportation and logistics coordination, or a related operational role.
  • Knowledge of transportation and logistics processes, including LTL, FTL, white-glove delivery, and specialized transportation.
  • Knowledge of basic rigging, material-handling, and equipment-delivery requirements, or the ability to effectively coordinate with qualified personnel/vendors regarding those requirements.
  • Proficiency in Microsoft Office applications, dispatch platforms, workforce management systems, ERP systems, and other operational software.
  • Ability to evaluate transportation options based on cost, timing, equipment requirements, geographic considerations, and project needs.
  • Ability to interpret shipping documents, delivery requirements, and vendor documentation.
  • Ability to coordinate multiple transportation providers and delivery schedules simultaneously.
  • Ability to organize, analyze, and interpret operational data.
  • Strong analytical and problem‑solving skills with the ability to evaluate multiple variables and make logical, timely decisions.
  • Strong organizational skills with the ability to manage multiple schedules, priorities, and time‑sensitive requests simultaneously.
  • Excellent verbal and written communication skills, with the ability to effectively communicate with field personnel, customers, management, and internal departments.

General Equipment/Machines Used:

Standard office equipment, including but not limited to computers, laptops, smartphones, telephones, copy machines, printers, and other office equipment and materials customary for the position.

Physical Demands:

Work is primarily performed in an office or home‑office environment and requires regular use of computers, telephones, and other office and communication equipment. For employees working onsite, the position may require the ability to sit, stand, walk, reach, and move throughout the office and, as applicable, production or operational areas during the workday. The position also requires frequent keyboarding, computer use, telephone communication, and interaction with customers, coworkers, and other individuals.

Mental/Cognitive Demands:

The position requires regular attention to detail and accuracy when managing schedules, assignments, operational data, and related documentation. The position requires the ability to organize and prioritize multiple tasks, respond to changing priorities, manage frequent interruptions, and exercise sound judgment when addressing scheduling and resource‑planning issues. The position periodically requires work under time‑sensitive conditions, including the ability to manage competing priorities, respond appropriately to changing business needs, and maintain accuracy while performing multiple tasks simultaneously.

Working Conditions:

Work may be performed onsite, in a hybrid arrangement, or remotely from and approved home‑office environment, depending on business requirements and management discretion. Employees working remotely are expected to maintain a suitable working environment that supports the performance of their job responsibilities and required communication. Normal work hours are generally Monday through Friday during morning through early evening hours; however, occasional weekend work and availability may be a requirement to support field installation projects, and operational needs. Employees may also be required to adjust their work schedule as necessary to support customer and operational requirements.

Compensation:

The pay range for this position is $22.48 to $25.70 hourly. It is not typical for an individual to be hired at or near the top of the pay range and compensation decisions are dependent on the facts and circumstances of each case. The specific compensation offered to a candidate may be influenced by a variety of factors including skills, qualifications, and experience.
