Job summary

Ontario Trillium Foundation seeks a dependable Transport Coordinator to join our auto auction operations team. You will coordinate vehicle movements to and from the auction, working with transport providers, drivers, dealers, customers, and sales departments to ensure on-schedule, safe deliveries.

The ideal candidate excels in a fast-paced environment, stays calm under pressure, manages multiple priorities, and communicates professionally by phone and email.

Qualifications

  • Previous experience in transportation, logistics, dispatching, automotive, auto auctions, or a related field preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to handle multiple phone calls, emails, and transportation requests throughout the day.
  • Strong attention to detail and accuracy.
  • Knowledge of vehicles and automotive terminology is a plus.

Responsibilities

  • Coordinate vehicle transportation to and from the auction facility.
  • Schedule vehicle pickups and deliveries with transport companies, dealerships and drivers.
  • Communicate with dealers, customers, carriers, and internal departments regarding transportation status.
  • Track vehicles from pickup through delivery and maintain accurate records.
  • Monitor transportation schedules and follow up on delayed, missed, or rescheduled pickups.
  • Verify vehicle information, pickup locations, delivery locations, and transportation instructions.
  • Enter and update transportation information in auction and/or transportation management systems as well as track charges and payments and relay payments to 3rd party transporters.
  • Work with drivers and carriers to resolve loading, unloading, routing, and scheduling issues.
  • Coordinate transportation for sold vehicles, dealer-owned vehicles, and other auction inventory as needed.
  • Assist with locating vehicles on the auction property and coordinating their movement when necessary.
  • Maintain accurate documentation, including transport orders, pickup confirmations, delivery information, and reports.
  • Monitor carrier performance and communicate recurring issues to management.
  • Provide timely updates to customers and internal departments regarding vehicle status.
  • Help ensure transportation activities comply with company policies and safety procedures.
  • Perform other duties related to transportation and auction operations as assigned.

Transport Coordinator

We are seeking a dependable, organized, and customer-focused Transport Coordinator to join our auto auction operations team. The Transport Coordinator is responsible for coordinating the movement of vehicles to and from the auction, working closely with transportation providers, drivers, customers, dealers, and sales departments to ensure vehicles are picked up and delivered safely, accurately, and on schedule.

  • Experience working with vehicle transport carriers or dispatching is highly desirable.
Physical & Work Environment

This position is primarily office-based but may require occasional time outdoors on the auction property. The employee may occasionally need to walk the auction lot, inspect vehicle locations, or assist with coordinating vehicle movement.

The position may involve extended periods of sitting, computer work, telephone communication, and frequent interaction with drivers, customers, and auction personnel.

Schedule

This is a full-time position. The schedule may include early mornings, occasional weekends, or extended hours depending on auction sale schedules and transportation volume.
