Job summary

University of California, Irvine is seeking a Training Grants Coordinator to support proposal development and manage day-to-day programmatic administration for training and research education grants. You will work with faculty and staff to assemble data, coordinate trainee processes, and maintain records across multiple award mechanisms.

Qualifications

• Knowledge of federal and state grant regulations, sponsor requirements, progress reporting, and compliance requirements.
• Familiarity with NIH, NSF, DoE, and CIRM.
• Ability to interpret sponsor policies for faculty, trainees, and administrative partners.
• Excellent organizational and time-management skills.
• Strong written, verbal, and interpersonal communication.
• Attention to detail in grant administration and data management.
• Ability to work independently and collaboratively with confidentiality.
• Proficiency with spreadsheets, databases, grant management, and financial reporting apps.
• Bachelor's degree and at least 3 years grant/research admin experience.
• At least 1 year experience with NIH training grants (T32, F31, R25) and GAANN/NSF NRT/CIRM.

Responsibilities

• Assemble data tables and supporting documents for grant applications and renewals.
• Coordinate trainee recruitment, selection, appointment, onboarding, reappointment, and termination processes.
• Maintain required trainee and program records and monitor sponsor reporting.
• Ensure compliance with sponsor, institutional, and award requirements.
• Serve as a primary liaison among faculty, trainees, administrative units, funding agencies, and partner institutions.
• Support workshops, symposia, conferences, and career development activities required by awards.
• Develop and maintain standard operating procedures and tracking systems for consistent grant administration.
